**What We Do**
Shift Collab is an umbrella organization comprised of three primary lines of business:
Shift Therapy - This is our group therapy practice; a team of likable and relatable therapists who help make mental health simple. Our group practice operates in-person, by phone, and virtually.
Shift People - This is our group training service, offering companies, organizations, and teams keynote talks, workshops, training, and intensives designed to make workplace mental health simple.
Shift Campus - This part of the business serves post-secondary institutions across North America, offering teaching and training for student and staff on-campus leadership, workshops, and modular courses on mental wellness, and mental health services, along with on-demand virtual therapy services.
**Summary**
We are seeking a dynamic, reliable and detail oriented Medical Administrative Assistant to join our growing and fast paced Client Care team. This position will provide day to day administrative support to multiple therapists and will be the first point of contact for potential clients and other key stakeholders.
Acting as a critical member of the Care Team, the Medical Administrative Assistant will provide exceptional customer service to both clients and therapists, incorporating an empathetic and caring approach.
**Key Duties**
The core duties of the Medical Administrative Assistant include:
- Managing and maintaining the schedules of and providing administrative support to, various therapists in an efficient and thorough manner
- Processing and Issuance of reminders for all scheduled appointments, in a timely manner
- Triaging of clients with the ability to advise on next steps, based on requisite knowledge of Shift’s policies, procedures and standards (e.g. Shift Collab Culture Code)
- Managing critical financial functions on behalf of the Clinic, including but not limited to: billing and invoicing clients; coordinating and processing direct billing activities with insurance companies; identifying and resolving outstanding client payments;completing daily payment reconciliations.
- Escalating all financial related issues in a timely manner, in order to avoid substantial delays
- Providing technical and logístical support to therapists and clients to ensure that virtual therapy rooms are functioning in an efficient manner, if needed
- Completing metrics reporting on a weekly and monthly basis, ensuring accuracy and efficiency
**Qualifications**
- Post-secondary degree or diploma in Office Administration, Health Administration or recognized equivalent. A University Degree in a related discipline is an asset.
- Demonstrated experience in providing an exemplary customer service experience, where the principles of diversity, equity and inclusion are considered during every interaction
- 1-2 years experience in Healthcare Administration or a related field. Working in a mental health clinic is an asset

- Sound problem-solving and decision-making skills, with the ability to determine when to initiate escalation when needed
- Sound organizational and time management skills, with the ability to multitask and prioritize tasks
- Avid oral and written communication skills, with the ability to utilize discretionary skills and demonstrate empathy
- Excellent interpersonal skills with the ability to function effectively in a team environment
- Ability to work independently in a fast paced and dynamic environment
- Ability to be flexible and adaptable to operational change
- Extremely reliable and dependable
- Ability to manage sensitive information with a high level of confidentiality and integrity
- Attention to detail
**Assets**
- The ability to communicate in a second (or third) language is an asset.
- Working knowledge of social work, some level of awareness about community and social resources is an asset.
- Some experience in social media, and creating content like blog posts would be an asset.
**Additional Requirements**
- This position requires long, focused periods at the virtual desk.
