**JOB SUMMARY**
Under the general authority of the Director of Continuing Education and the direct supervision of the Operations Manager Continuing Education - to perform various administrative and technical tasks particularly in collaboration with many persons in a fast paced and highly intercultural office environment.
**DUTIES AND RESPONSIBILITIES**
- Provide administrative support to the Coordinators of the Continuing Education Nursing Programs in the planning and administration of all Nursing programs:
- Coordinate, plan and administer, in collaboration with the Program coordinators and various College departments, all technical and administrative procedures related to the promotion, information sessions, admission document follow-up, CELBAN testing, faculty hiring and contracts, orientation, stage placements, graduation, and day to day management of Continuing Education Nursing programs.
- Participate in the administration of the Continuing Education Nursing programs:
- Develop and maintain the multiple student master lists for all Nursing programs
- Follow up on all student documents e.g. student health records, student profile, OIIQ registration, HSP net forms, confidentiality and waiver forms
- Prepare clinical packages, name tags and gather student patient assignment
- Compile, calculate and sort language/math test results for the Professional Integration Program
- Analyse, interpret and implement new MESRST directives for all nursing programs
- Update and maintain program, course, student information and profiles on HSP.net stage placement system
**Continuing Education**
In collaboration with the Program coordinators and various College departments:
- Plan, coordinate and organize information session, language testing, admission package, orientation sessions and graduation for Continuing Education Nursing programs.
- Liaise with different internal and external agencies in either French or English (OACIQ, OIIQ, CIUSSS, Health Care agencies, Emploi-Québec, Immigration)
- Prepare requests for all credit and non-credit course contracts (Continuing Education), liaise with Human Resources
- Research, analyze and compile data for reports and statistics required by chairs, coordinators and department (summary of academic failures, course evaluations, CASN)
- Liaise with Registrar’s office, Human Resources, Financial Services, Academic Advising, ITS and Security and other college services as needed
- Respond to, refer, and/or resolve program and general inquiries from internal or external sources
- Prepare and maintain program specific Databases using EXCEL, CLARA, ACCESS and LIBREX.
- Archive student records and various program specific documents throughout the course of the year.
- Prepare, administer and collate course, program and program assessment evaluation data for all nursing programs
- Prepare, administer and collate Continuing Education Online Teacher Evaluations
- Coordinate with Continuing Education and the Registrar's office in the registration of the Workshops and other online health courses
- Update course information for Continuing Education website using Wordpress.
- Compose and/or type letters, memos, faxes, forms, requisitions, reports, announcements and invitations
- Handle stationary supplies, including ordering, storage and inventory
- Perform other related tasks as may be assigned
**EDUCATION**:
Diploma of college studies (DEC) in an appropriate specialty, or a diploma or an attestation of studies which is recognized as equivalent by the competent authority.
**SPECIFIC REQUIREMENTS**
- High level of knowledge of the Health care system an asset
- Five (5) years of pertinent experience in a health related environment preferred
- Strong organizational and planning skills
- Ability to multitask in a highly demanding environment
- Logic and analytical skills required
- Comprehensive knowledge of Clara, Omnivox, LEA preferred
- Knowledge of CEGEP system an asset
- Must have excellent intercultural and interpersonal skills
- Manage multiple stressors simultaneously
- Initiative as well as ability to work independently and effectively under pressure
- Ability to work well as a member of a team
- Work professionally and efficiently with a diverse population, both local and international students, visitors and partners
- High level of confidentiality required
- Excellent knowledge of computers: Word, Excel, Access, Internet/Web Pages
