**Overview**:
The Executive Assistant - RCMP Administration supports the Officer in Charge (OIC) of Richmond Detachment and the Senior Executives of the Detachment and is responsible for performing diverse and highly confidential administrative duties.

**Examples of key responsibilities include, but are not limited to**:

- Manages the OIC’s complex schedule and arranges extensive and constantly changing appointments, meetings, conferences, retreats and seminars, including registration, travel and accommodation arrangements as necessary.
- Coordinates various meetings by preparing agendas, arranging facilities, food and beverages, and other related issues. Undertakes special projects, including compiling information, researching and reviewing selected materials.
- Represents the OIC’s office professionally when communicating with Federal/Provincial and Municipal government officials, staff from other agencies and the general public to ensure fine lines of communication and enhance relationships. This position also interacts between Division, District and Richmond Detachment and liaises with internal and external client groups
- Ensures the OIC has appropriate meeting documentation by researching and preparing complex and numerous briefing books.
- Receives and directs telephone or electronic mail inquiries from internal and external stakeholders, exercises discretion and utilizes knowledge of RCMP and City policies to provide information or decide who should be referred to elsewhere.
- Manages personnel issues for the members at Richmond Detachment, at the airport and at off-site stations. This includes organizing and communicating members' internal and external movement, maintaining member files, updating organizational charts and supporting members in related administrative issues.
- Responsible for handling all administration connected to medical leaves, parental leaves, graduated return to work and other administrative work.
- Responsible for ensuring Richmond abides by the Official Languages Act.
- Prepares reports and other necessary documents relating to confidential internal police investigations and may transcribe statements for the Professional Standards Section.
- Coordinates external and internal events involving the Detachment, such as Awards ceremonies, retirements, assemblies, City events and other occasions.
- Explores opportunities to improve efficiencies.
- And overall other related duties as required.

**Knowledge, Skills & Abilities**:

- Ability to record minutes, transcribe notes, prepare correspondence/reports, and research various topics.
- Knowledge of business English, spelling, grammar and punctuation.
- Ability to multitask, be highly organized, retain a solid attention to detail, and be results-oriented in a multi-faceted, fast-paced environment with changing priorities.
- Ability to work both independently and interdependently.
- Ability to deal with unexpected situations calmly and competently.
- Ability to exercise sound judgment and embrace accountability for decisions.
- Ability to act with tact, diplomacy and discretion with high confidentiality.
- Ability to establish and maintain effective working relationships with internal and external contacts.
- Skilled at sustaining corporate knowledge through document control and effective communication.
- Intermediate to advanced skill level in Microsoft Outlook, Word, Excel and PowerPoint; advanced skill in REDMS, Visio, Org Plus and video/teleconferencing platforms.
- Ability to maintain current knowledge and skills through continuous learning.

**Qualifications and Experience**:

- A 2-year Diploma in Business Administration supplemented by a minimum of 5 years of recent and related administrative experience, including supervisory experience Or an equivalent level of education (i.e., completion of a Business Training Program or Office Management Certificate/Diploma), training, and experience are required.
- Ability to obtain a Top-secret security clearance.
