Event Specialist

**Here’s what you’ll be doing**:
- Planning and producing fun in-person and online events, including:
- Caregiver respite events where they can have fun and take a break from caregiving
- Client and caregiver educational events and webinars
- Internal company events such as staff summer BBQs, town halls, staff recognition dinners, etc.
- Assisting in putting on internal company events and/or building awareness of Acclaim Health within the community by participating in and/or producing external community events, including the following tasks:
- Cultivating strong relationships with community groups and vendors
- Securing venues for events and/or setting up Zoom webinars as necessary
- Creating event registrations in Eventbrite or Calendly
- Organizing all marketing materials and equipment necessary for each event (ie. Tradeshow materials, banners, signage, tablecloths, giveaway items, prizes, displays, etc.)
- Coordinating staff members and/or volunteers to work the event
- Set up and tear down for events
- Taking pictures at events as necessary and ensuring appropriate consent is obtained
- Creating and administering post-event surveys to solicit feedback
- Tracking event data such as number of registrations, number of attendees, total costs, etc.
- Ensuring Acclaim Health’s presence is effective, engaging, professional, and fun
- Evaluates events to determine if they are worth participating in or hosting again in the future.
- Maintaining a list of contacts for event spaces, vendors and suppliers.
- Acting as the primary resource to colleagues across the organization regarding use of Eventbrite and Calendly.
- Tracking and assessing the effectiveness of Eventbrite and Calendly and making recommendations for improvement.
- Assisting in ensuring the Acclaim Health website is up to date, including:
- Ensuring content on event pages is up to date
- Creating new promotional copy/content for events as required
- Updating the Events Calendar page
- Proactively seeking opportunities to market Acclaim Health and its services through new or relevant community events.
- Building strong relationships with clients, volunteers, donors, and colleagues from across the organization to understand program needs and to tell the Acclaim Health story in a compelling way.
- Useing an ethical storytelling approach when sharing client, volunteer and donor stories with the community to illustrate the impact of the organization’s work in collaboration with the Community Engagement & Business Development team.
- Monitoring marketing expenditures in collaboration with the Marketing Manager.
- Deepening your knowledge of the marketing and home and community care sectors.
- Working in a safe manner.
- Participating in ongoing training, team meetings.
- Having fun - note that spontaneous dancing and pompom use may occur
**What you’ll need to be successful**:
- Minimum 2 to 3 years of experience in events coordination
- Strong communication, interpersonal skills and time management skills
- Intermediate to advanced knowledge of Microsoft Office, Wordpress, Sharepoint, Eventbrite, Constant Contact, Zoom and social media platforms
- Detail oriented, accurate and organized
- Proven ability to multi-task and meet deadlines
- Demonstrated ability to work independently and collaboratively as a team member
- Valid Ontario’s driver’s license, use of vehicle and insurance per company policy

**Work / Life Integration**:
- This is a one year+ contract, for a full time (37.5 hour a week) position.
- Some weekend and evening work may be required for events, but you can bank this time to be redeemed as time off at a later date.
