**Position Title**: Administrative Assistant, Self-Employment for Newcomers

**Location**: Robert Lee YMCA (955 Burrard Street, Vancouver) Occasional travel in the Lower Mainland as per program needs.

**Terms**:Temporary, Full-Time

**Hours**: 35 hours per week

**Start Date**:As soon as possible

**End Date**: March 31, 2024, with the possibility of extension based on funding.

**Reports To**: Manager, Newcomer Services

**Nature and Scope**:
The Self Employment for Newcomers program will help new immigrants & eligible refugees learn about work in Canada & steps to start a small business. Participants will learn the components of doing business in Canada. Through a combination of classroom and one-to-one support, the 8-week program will include topics that are relevant not only to self-employment but also to Canadian workplace practices. Participants will receive one-to-one support to complete a business plan & launch their business.

Working with the full-time Administrative Assistant, this position will support the contractual reporting and participant tracking related to program administration for the YMCA Newcomer Services program. The work environment is fast-paced and busy with a high volume of program participants. The incumbent will work directly within a team of three full-time staff.

**Major Responsibilities**:

- Provides administrative support for the following processes: reporting and tracking of participant attendance and intakes.
- Maintains and updates computerized files, inventories and database systems.
- Administratively supports program staff in meeting the obligations of the funder including monthly reporting to online database of funder.
- Models appropriate behaviours to staff in line with our Mission, Vision and Values; Establishes rapport and maintains effective relationship-building behaviours with staff and members. Represents the YMCA and the Association in a professional manner in internal and external forums
- Occasional work may be required in evening or on weekend for special events
- Additional administrative projects and duties as assigned

**Qualifications**:

- A minimum of 2 years administrative experience
- Completion of a Community College Diploma in Business Administration or related field preferred
- Very strong proficiency in Microsoft Office/Excel/Internet
- Excellent verbal and written communication skills
- Efficient and process oriented.
- Resourceful, enthusiastic, and possesses good judgment and listening skills.
- Ability to multitask
- Detail oriented, ability to adhere to and maintain administrative procedures
- Ability to work within a team and independently
- Well-developed interpersonal, and relationship building skills; ability to establish rapport and excellent communication with members including participants, families, youth, children, staff and volunteers; Excellent written communication skills
- Experience and sensitivity in dealing with members of different cultural and racial backgrounds, including visible and invisible dimensions of diversity
- Fluency in one of the main newcomer languages other than English is an asset (Farsi, Chinese, etc.)
- Emergency First Aid/CPR-C Certificate required, can be obtained within 30 days of start date
- The YMCA has implemented a mandatory COVID-19 vaccination policy requiring all staff and volunteers to be vaccinated as per the timelines set out by the province - one dose by September 13 and second dose by October 24.
