Position Summary:
Manage the administrative and student-related activities of both graduate programs (M.Sc. and Ph.D.) within the department of Family Medicine, and will oversee the activities with regard to research, ensuring a strong tie between the graduate programs and research. Support the directors with regard to the implementation and execution of strategic decisions, and will support the establishment of the strategic direction for graduate programs and research by translating them into operational processes and procedures. This will be a management role with two direct reports.

Duties and Responsibilities:
Staff management & General administration:

- Assess, develop and implement administrative policies, processes and procedures and ensure activities that meet or exceed established quality requirements, in support of the strategic directions of the programs
- Act as a resource person for academic personnel, administrative staff and students
- Oversee and support the activity of the two administrative staff members coordinating the programs (the research coordinator and the graduate program coordinator):

- Assess and resolve administrative problems, employee concerns and faculty requests. Formulate recommendations and escalate to the Associate Director of AEC as needed.
- Work closely with the Financial Officer on reconciliation and budget monitoring for all the programs.

Strategy support & Promotion of the program:

- Enhance community research by supporting the program directors in developing links between the graduate programs, research and the other programs of the department (Postgraduate Education, Undergraduate Education, Faculty Development, Quality Improvement)
- Implement and manage strategic committees in collaboration with the Graduate Program director(s) such as admission, recruitment, website, branding etc.
- Ensure close links between research & the graduate programs regarding all common activities and develop with the program directors potential new activities that enforce these links.
- Promote the graduate programs internally and externally, and participate in the development of innovative communication strategies in collaboration with the communication officer
- Support the recruitment strategies, make recommendations for future improvements and manage their implementation
- Provide advice to GP Director(s) on student affairs related activities and engages in problem resolution with Student Affairs Committee in accordance with established policies and procedures.

Student Affairs
- With the support of the graduate program coordinator, triage and respond to inquiries from students and potential applicants.
- Follow students’ academic progress and assist students in making appropriate educational choices and decisions
- Oversee the organization of the student awards nomination, notification and selection committees, and draft with the program directors letters of support when needed
- Operationalize the development and ensure appropriate for implementation of Graduate Programs courses and teaching assistantships
- Oversee the organization of the admissions committee and supervise the distribution and review of dossiers, the interviews and ranking of applicants for admission

Other Qualifying Skills and/or Abilities
- Work experience in clinical research is an asset;
- Experience with common CV, ResearchNet, and funding agencies (such as CIHR and/or FRSQ) is a strong asset;
- Experience managing in unionized environment is a strong asset;
- Excellent command of English and French, both spoken and written. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing;
- High level of attention to details;
- Ability to prioritize and to multitask;
- Demonstrated ability to work independently as well as within a team;
- Ability to exercise tact, discretion, and confidentiality.
