We are hiring **Bookkeeper/Office Administrator **for our client located in Etobicoke, ON. The company a leading Canadian owned supplier of custom aluminum-clad wood windows and doors across Canada and the USA.
**Schedule**: Mon - Fri, 9:00am - 5:00pm, Full Time Position
**WORK LOCATION**:Etobicoke, Ontario
**RESPONSIBILITIES**
Reporting to the Operations Manager, the **Bookkeeper & Office Administrator **is responsible for accounting and general office administration.
Accounts Receivable:
− Work closely with company staff to ensure client and order information is accurate, complete, saved in the client folders and maintained on the shared company Job Board.
− Maintain client profiles and job entries for CAD and USD clients.
− Issue and save client order confirmations, invoices, payment receipts, and refunds/credits.
− Manage accounting tasks required for revisions / additions to in-progress client orders.
− Assist with supplier claim submissions and collections.
− Monitor and manage collections daily.
− Manage client credit card payments.
− Manage outstanding debt and resolve client payment inquiries/issues.
Accounts Payable:
− Assist the Operations Manager with foreign currency bill payments and some online payments.
− Assist the Accounting Advisor with weekly EFT payments and bill filing.
− Assist the Accounting Advisor when required, with accounting activities such as payroll, taxes, workers insurance, investigating historical data, monthly and year-end reconciliations, and general ledger management.
Other Accounting and Clerical Duties
− Share payment status and pending actions through immediate updates on the shared company Job Board.
− Maintain accounting records and files.
− Assist with inventory management and maintaining accurate counts.
− Provide management with periodic financial reports and analysis.
− Create and manage documented accounting function guides and tools.
− Assist with courier shipments (e.g., Purolator, DHL), purchasing of supplies, HR and other general administration duties as assigned.
**QUALIFICATIONS**
- Certified Professional Bookkeeper CPB is mandatory.
- Expert knowledge and proficiency with QuickBooks desktop software is mandatory.
- 2 plus years experience working in accounting, preferably within the construction or manufacturing sector.
- Strong ability to analyse data and produce reports.
- Business acumen and superior attention to detail.
- Ability to maintain confidentiality.
- Ability to breakdown complex problems into manageable tasks and timelines
- Ability to analyse data, identify issues, collaborate, solve problems, and escalate risks when necessary.
- Ability to work across different functional areas and build strong internal and external relationships.
- Superior interpersonal and written / verbal communication skills.
- Client focused and ability to be influential and persuasive.
- Self-starter and action/results oriented.
- Ability to multitask and ensure high accuracy of deliverables, in a fast-paced deadline driven environment.
