Grace Health Centre (GHC), established in 1986, is a group of physicians, therapists plus support staff working together to care for families in the community. We look after people of all ages. We also provide prenatal and postnatal care. Our practice philosophy is one of health promotion. We believe that the prevention or early detection of any disease is the best cure. We feel saddened that during the pandemic, when mental health needs have sky-rocketed, that mental health care for our disadvantaged and vulnerable patients have been difficult to access.

**Scope of Role**:
You will play a critical leadership role in helping us increase our capacity to care holistically for these patients through increasing our capacity and efficiency. The primary focus is to oversee the operations supporting primary care, family medicine related needs.

Job duties, tasks and responsibilities
- Manage team of medical administrative staff and medical assistant volunteers to ensure smooth clinic operations in supporting staff and patient needs as it relates to day-to-day clinic operation needs such patient booking/engagement, medical record-keeping management, physician workflow, specialist referral management, billing, etc.
- Oversee coordination of staffing needs in accordance to clinic operation scheduling.
- Support recruitment and lifecycle management of new staff and assistant volunteers.
- Responsible for general budgeting and expense management of clinic operations.
- Gain strong grasp of clinic operations with attention to detail and organization such that billing, filing of records, and privacy needs are accurately adhered to in a timely manner.
- Responsible to identify and lead projects to digitizing administrative processes using automation software, technology and AI tools in order to streamline operational efficiency.
- Responsible for coordinating regular upkeep of clinic facility in a manner that is safe and appropriate for patient medical care.

**Skills/Qualifications needed**:

- Min. undergraduate degree education level in related field.
- Demonstrated team leadership experience to proactively delegate, motivate and coach others in a compassionate, collaborative manner.
- Ability to diffuse conflict and seek effective resolution within teams and with patients.
- High critical thinking skills and ability to manage multiple tasks under pressure.
- Excellent verbal and written communication skills.
- Strong grasp in general administration (recruitment, project management, process improvement, customer service).
- Excited, creative, and willing to take on the challenge of turning an ideation into a positive, impactful implementation.
- Proficiency in Microsoft Office, particularly Word, Powerpoint, and Excel.
- Proficiency in Cantonese or Mandarin is an asset.
- Demonstrated appreciation for diverse peoples, race, culture, and needs.
- Passionate about making a difference within healthcare. Experience within the healthy industry is an asset.
