The successful applicant** **will promote the values, principles, and services of the SEIU by providing general admin support to the administrative manager in the day-to-day office and administrative tasks and activities.

The position holder will report to the administrative manager. This position is for 6 months and is based out of our Richmond Hill Office.

**DUTIES AND RESPONSIBILITIES**:

- Provides confidential administrative support to the admin manager and acts as the liaison between them and internal and external stakeholders. Ensure the smooth and adequate flow of information within the admin department to facilitate operations.
- Provides schedule management for the admin manager under the pressure of changing priorities and multiple deadlines.
- Support the Admin manager in overseeing facility services and maintenance activities.
- Support of various department initiatives and projects.
- Provide secretarial and administrative support to the Admin Manager.
- Respond to telephone, in-person or electronic inquiries or forward to the appropriate person.
- Manage calendars including scheduling and sending and responding to meeting invites.
- Maintain filing system. Photocopy and collate documents for distribution, mailing, and filing.
- Prepare meeting agendas and supporting material.
- Take minutes at meetings, draft, and finalize.
- Assist in recruitment and onboarding of employees.
- Other duties as assigned.

Students who are currently enrolled in a college/university Co-op program are encouraged to apply.

**GENERAL REQUIREMENTS**
- Previous office-related experience is an asset.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Familiarity with office equipment e.g., printing, photocopying, scanning
- Attention to detail and the ability to work with confidential information is essential
- Must be able to adapt, think quickly, and work in a fast-paced environment
- Strong interpersonal skills, excellent writing, and verbal skills
- Strong conflict resolution skills and the ability to deal with tense situations.
- Self-motivated and able to work independently with mínimal supervision.
- Time management skills
- Building and maintaining trust relationships with all stakeholders.

**PHYSICAL DEMANDS/ WORKING CONDITIONS / ENVIRONMENT**
- Work is usually performed in an office environment.
- Office work can include prolonged periods of sitting at a workstation and certain repetitive movements associated with such work.
- Using a computer for long periods of time.
- Frequent use of telephone.
