**Duties**

In this role, you will support a Coordinating Committee and three Working Groups who are responsible for implementing a series of corrective actions to improve field safety practices. The corrective actions are time sensitive as the major of actions must be implemented prior to end of March, 2024. Responsibilities include:

- Coordinating, organizing and providing administrative support to the Coordinating Committee and Working Groups including compiling and distributing materials, recording minutes, and ensuring action item follow-up, booking guest lecturers and special events.
- Managing access to calendars and schedules, prioritizing meetings and events.
- Acting as the central point of contact for the Committee and Working Groups, ensuring timely responses to requests for information.
- Coordinating, collecting, and sharing information for submission to the Committee and Working Groups
- Maintaining files, records and all documents in google folders.
- Developing and maintain a project plan to ensure that tasks are being completed on time to meet the March 30, 2024 deadlines.
- Offering clerical support, formatting, editing, and proofreading documents to uphold professional standards.
- Drafting and generating routine communications, as well as composing correspondence for signature.
- Communicates relevant facilities and operations information to ensure all area staff are informed of activities that may affect them.
- Support the organization of an all day training event including booking of facility, catering arrangements, AV requirements, coordination of speakers, management of registrations, preparation of materials and coordination of presentation materials.

**Minimum Qualifications**
- Ability to strategize and develop creative and efficient solutions
- Ability to work in a fast paced, high volume environment and manage projects
- Ability to work independently with mínimal supervision
- Able to perform searches on databases, websites, etc. to support project activities
- Adaptable, agile and technologically savvy; advanced capability with MS Office suite, Google Applications
- Demonstrated ability to adapt and pivot to rapidly changing demands
- Demonstrated ability to work collaboratively in a team environment while managing competing priorities
- Two (2) year Diploma in Office Administration or equivalent

**Preferred Qualifications**
- Minimum of 3 to 5 years of related experience with administrative and project management
- Excellent interpersonal and communication (verbal and written) skills including a strong ability to demonstrate professionalism, confidentiality, and diplomacy
- Excellent organizational and critical thinking skills
