Position Summary:
We are looking for a part-time account administrator to assist the staff of the Alan Edwards Center for Research on Pain in tasks involving the McGill FIS system. These include managing transactions (IDCs, transfers, payment requests, PO management, expense reports, etc.) and assisting others in this regard, particularly external visitors who lecture at the Pain Centre. The applicant needs to be proficient with Minerva/Banner, the HR / payroll and Pcard systems, and will participate in preparing budgets and financial reports under the direction of the Manager. They will perform monthly reconciliations of funds held at the Pain Centre, matching posted transactions with reported expenditures, and will assist with assigning transactions to the correct internal budget envelope, following up on discrepancies and making corrections as needed.

Major Duties and Responsibilities:

- Verifies and reconciles accounting and financial records, fund statements, expenditures, and budgets.
- Processes and monitors the processing of financial and accounting transactions in the unit.
- Identifies and analyses discrepancies and errors. Makes corrections, processes adjustments and follows up on problems. Reviews for any outstanding items and follows up.
- Reviews, verifies and prepares journal entries, deposits, expense reports, advances, purchase requisitions, student aid payments (BSA), payroll adjustments, interdepartmental charges, and invoices to internal and external clients.
- Verifies expense reports prepared by academics, managers and administrative support staff and ensures compliance with University, government and granting agency guidelines. Maintains up-to-date knowledge of these matters and gives explanations to researchers and staff.
- Verifies the completeness and accuracy of documentation supporting financial transactions.
- Reconciles Pcard transactions and ensures compliance.
- Organizes and maintains the financial document repository center for the unit.
- Prepares schedules, reports and financial statements.
- EDUCATION/EXPERIENCE_
Minimum requirement:
Experience with MMP, Minerva/Banner, HR required.

Knowledge of QuickBooks an asset.

Languages: English (spoken/written), French not required but would be an asset.

Minimum Education and Experience:

- DEP - Business Administration 3 Years Related Experience /
