**Position Summary**

The **Office Manager **oversees the patient experience, and serves patients by being their first and last point of contact. This is an integral role that works with all members of the healthcare team in a coordinated and collaborative effort to engage, encourage, and support patient health. This role has the primary responsibility of keeping clinic operations running smoothly, key responsibilities include but are not limited to:

- Hiring, training, and supervising Medical Office Assistants (MOAs).
- Overseeing MOA staff and Couve Staff scheduling, billing, and other administrative duties.
- Supporting MOA staff by holding regular meetings, determining best practices, and liaising with practitioners at the clinic as needed.
- Using JaneApp to revise schedules, maintain billing, and handle technical issues.
- Managing the clinic budget with the management team.
- Managing billing and accounts receivables.
- Overseeing and maintaining office and clinical inventories.
- Trouble-shooting clinic-related issues that arise.
- Supporting the improvement of clinic workflow and interdisciplinary communication.
- Contributing to day-to-day operations and supporting the Management Team (Clinical

Director(s), Director of Finance, Head of Departments) with tasks as required.
- Providing guidance on handling Third-Party insurance claims

**Position Requirements**
- Knowledge of EMR systems, especially JaneApp.
- Minimum of 2 years administrative experience, with at least 1 year of leadership experience preferably in a healthcare environment.
- College Certificate/Diploma or University degree (MOA certificate is an asset, but not necessary).
- Excellent communication and relationship building skills - both in person and over the phone.
- Excellent organisational skills, the ability to multitask and prioritise workflow in a fast-paced environment.
- Excellent administrative and interpersonal skills, along with an understanding of employee relationships and conflict navigation.
- Ability to work independently and also in a small collaborative team environment.
- Goal-oriented and comfortable actively contributing to the achievement of individual and team goals.
- Ability to address patient concerns and challenges with compassion and resilience.
- Ability to handle sensitive patient information with confidentiality and discretion.

**Salary**: $20.00-$27.00 per hour
