SUMMARY OF POSITION:
Reporting to the Branch Manager, the Administrative Assistant performs administrative duties in order to support effective and efficient office operations. Job duties will include but are not limited to the following:
RESPONSIBILITIES:
Perform general administrative duties (answering the phone, taking messages, filing, composing letters/memorandums, scheduling meetings and appointments, making out charts and graphics, making copies, etc.)

Acquire, process, balance and retain daily jobsite timecard data entry & balance against log

Prepare weekly payroll jobs reports, obtained and balanced with the daily jobs reports and submit to payroll. Compile data related to the weekly payroll

Maintain a daily/weekly labor spreadsheet

Administer and maintain active/inactive employees in STS per jobsite or project Assist with data entry into Customer’s job specific site programs

Process New Hire Information and provide to Payroll/HR Maintains EH&S Training logs for all employees

Enters all A/P vouchers as well as ensure face and accurate coding of Accounts Payable Audit all Shipping/Receiving paperwork generated by Operations

Manage and monitor open POs and to perform regular clean up

Perform follow-up of files in progress with supervisor to ensure invoicing and costs are accurate; Assist with Accounts Receivable calls and collection issues

Responsible for gathering accurate and timely information in preparation of billing invoices

Prepare and issue documents related to accounts such as bills, invoices, account statements and other financial statements

Respond to customer inquiries, maintain good customer relations and solve problems

**REQUIREMENTS**:
Bilingual (French and English) would be a definite asset

Minimum High School or equivalent required. Post secondary education preferred

Minimum of 3 years of relevant office and accounting experience

Computer proficient: Microsoft Office (MS Word, MS Excel, Outlook); and other computer specific software

Excellent oral and written communication skills Customer oriented attitude

Excellent interpersonal and team building skills Ability to multitask

Strong organizational and prioritizing skills Flexibility and adaptability

Self-motivated
