The Department of English at the University of Toronto Scarborough encompasses specialist, major, and minor programs in Literature, a major and minor in Creative Writing, a minor in Film Studies, and co-op. Ourundergraduate curriculum introduces students to literary and artistic texts from a wide range of historical and cultural contexts and gives them the tools to think and write critically about the world around them. Students also benefit from the opportunity to work closely with faculty members who have been recognized for excellence in teaching and research.
**Your opportunity**:
Under the general direction of the Chair and reporting to the Business Officer, the incumbent provides administrative support services for programs and courses in the Department of English. Working in a collaborative team environment, the incumbent supports the undergraduate program by advising students on program requirements; administering the hiring process for Course Instructors and Sessional Lecturers; coordinating the submission of course and curriculum materials to the Registrar’s Office for the calendar and timetabling; and representing the department through promotional materials and at outreach events. The Undergraduate Coordinator will also serve as a first point of contact for general inquiries and visitors to the Department.
**Your responsibilities will include**:
- Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background
- Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
- Reviewing and approving changes to program requirements for exceptional cases
- Analyzing statistical information to inform enrollment projections and planning
- Coordinating the preparation and distribution of program and/or course material
- Coordinating the recruitment, training and scheduling processes for exam invigilators
- Acting as the first point of contact for general enquiries
- Coordinating the recruitment of teaching assistants, course instructors, sessional lecturers and/or stipend instructors
**Essential Qualifications**:
- Bachelor's Degree or acceptable combination of equivalent experience
- Minimum four years of related and demonstrated experience in both student advising and program administration in a post-secondary environment
- Experience using Student Information Systems
- Experience administering the CUPE 3902, Unit 1 and Unit 3 collective agreements
- In depth working knowledge of University of Toronto’s policies and procedures and sound working knowledge ROSI and ACORN
- Proficient with Microsoft Office (Word, Excel, PowerPoint and Outlook)
- Excellent interpersonal, verbal and written communication skills
- Highly customer service focused
- Detail oriented with a high level of accuracy
- Demonstrated ability to exercise tact, good judgment and diplomacy when dealing with faculty, staff and students
- Ability to maintain confidentiality
