University of Manitoba Students’ Union (UMSU) is a non-profit organization which advocates on behalf of its memberships’ best interests to internal and external stakeholders. Our primary objectives are to serve students and strive to enhance student life and the quality of education through consultation, representation and advocacy.
**Engagement and Events Specialist**
Reporting to the Marketing Manager, this full-time permanent position is responsible for coordinating UMSU events, including Fall and Winter term Orientation, and managing space (tabling) requests. The role involves planning, organizing, and executing events, including logistics, budgeting, and vendor coordination. Building relationships with community leaders and sponsors, developing sponsorship packages, and coordinating community events are key duties. Administrative tasks include budget management, record-keeping, and processing booking requests.
This position is schedule to be a Monday - Friday 8:30am-4:30pm position, however overtime may be required.
**Responsibilities**:
**Event Planning and Execution**:
- Creates and maintains an annual event plan and related marketing and communication strategies for all UMSU events
- Plan, organize and execute events, including logistics, budgeting and coordination with vendors.
- Develop event timelines and ensure all deadlines are met
- Oversee event setup, execution, and teardown
- Develop and manage event registration processes
- Work with the Marketing team and ensure timely and extensive promotion of all events including posters, banners, social media, etc.
- Ensure compliance with insurance, legal, health, and safety obligations
- Respond to inquiries and requests related to events
- Proactively handle and troubleshoot any emerging problems related to events

- Create final reports and make recommendations for future events
- Establish effective and collaborative relationships with various student groups and communities to increase student engagement
**Outreach & Relationship Building**:
- Identify and build relationships with community leaders, organizations, and groups
- Identify and secure sponsorship opportunities for events and programs
- Develop sponsorship packages and proposals
- Maintain relationships with sponsors and ensure fulfillment of sponsorship agreements
- Coordinate community events and other sponsored initiatives that the organization is involved in, ensuring all stakeholder and sponsor obligations are met
- Develop and manage the UMSU Alumni Program, including creating engagement strategies, organizing events, and maintaining strong relationships with alumni to foster a supportive and active alumni community.
**Administrative Duties**:
- Manage event budgets and track expenses
- Maintain records of outreach activities and sponsorship agreements
- Track, document, and report on outreach activities and engagement.
- Receive and process table booking requests, verify availability on the event calendar, confirm bookings, and handle invoicing for vendors
**Education and Experience**:
- Degree, diploma or certificate in hospitality, event management, marketing or equivalent combination of education and experience
- At least 3 years of event management experience, preferably in a not-for-profit environment. Marketing background is an asset
- Demonstrated financial management and reporting experience relating to event planning
- Experience working with multiple brands and multiple conflicting production timelines
**Skills**:
- Strong organizational and project management skills
- Excellent written and verbal communication skills
- Excellent organizational skills with the ability to multi-task and manage competing priorities
- Ability to work independently and as part of a team
- Excellent customer service and relationship building skills with internal and external stakeholders
- Strong interpersonal skills and the ability to build relationships.
- Attention to detail and ability to manage multiple projects simultaneously
The wage range for this position is **$45,000 - $55,000** and is based on an individual’s education, knowledge and experience. Applicants must be eligible to work in Canada.
