**DUTIES AND RESPONSIBILITIES**:

- Perform general clerical/administrative duties as needed including but not limited to answering phones, filing, preparing correspondence and memoranda, faxing, copying, and mailing.
- Open, sort, and distribute incoming mail; prepare all outgoing mail and packages.
- Prepare reports and correspondence as needed.
- Ensure the maintaining of the central filing system.
- Perform data entry duties as assigned.
- Partner with the Corporate Shared Services HR team to ensure continual alignment of HR objectives with that of the business.
- Liaison between employees and the Corporate HR team to address questions relating to payroll, benefits, Time & Attendance.
- Order and maintain office supplies and inventory.
- Perform other related duties as assigned by management.
- Perform ad hoc projects as assigned by management.

**QUALIFICATIONS**:

- Minimum of two years’ office experience.
- Knowledge of employment laws and regulations in Quebec is preferred.
- Excellent verbal and written communication skills in French and English.
- Proficient in Microsoft Office Suite including Word, Excel, PowerPoint and Outlook.
- Commitment to excellence and high standards.
- Acute attention to detail.
- High level of professionalism in dealing with confidential and sensitive issues.
- Ability to deal effectively with a diversity of individuals at all organizational levels.
- Ability to understand and follow written and verbal instructions.
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
- Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
- Ability to work independently and as a member of various teams and committees.

The job is an Office Assistant to perform clerical and administrative duties. One of the main functions is to partner with the Human Resources team in the United States to ensure all HR objectives are in alignment. The HR, Corporate Shares Services and the senior management team are all located in the United States.

As detailed in the job description, this job involves communicating, both verbally and in writing, with other VOXX teams located in Quebec, Canada, and the United States and with our international clients and partners. Based on an evaluation, we have determined that the duties of the Office Assistant position require knowledge of English in addition to French (oral and written). We also determined that the English language skills already required of other employees do not permit the performance of English language skills tasks related to Office Assistant position.

However, in Québec, VOXX DEI Canada, Ltd., limits as much as possible the number of positions for which it requires the knowledge of another language than French. VOXX DEI Canada, Ltd., solely requires proficiency in English where it is necessary for the performance of an employee’s duties.
