**The Role: Clinic Administrator (full-time)**
The Clinic Administrator offers the Clinical Team support through client, office and technology management. The administrator is the primary point of contact for all clients, and sees them throughout their time with Trellis, while building relationships with other teams in the agency.
**Key Duties and Responsibilities**
**Office Management**
- Primary point of contact for mental health therapy and family-based services.
- Answers phone line and provides information of Trellis services as well as other agency information. Supports people in becoming connected to the service most appropriate for them. Uses a trauma informed approach in listening to client needs and offering the appropriate service or waitlist.
- Coordinate Clinic needs include supporting management of databases, and onboarding and off-boarding clients.
- Provides a range of administrative and organizational support including billing, invoicing, data tracking, and caseload management.
- Communicate gaps in data collection to appropriate sources.
- Mitigation of system navigation and the ability to problem solve, hold boundaries, give internal and external referrals to services that may be a better fit and explain the parameters of waitlist function.
- Follow up with clients on waitlists to inform of expected wait times.
- Ability to support internal referral management and development systems across services and portfolios.
**Facilities and IT Operations**
- Supports the successful onboarding and offboarding of all clinical clients.
- Input new clients into databases.
- Ability to form relationships with multiple teams and services.
- Assisting with monthly and quarterly audits of Jane App, Caseload reviews and Greenspace.
- Other projects as assigned.
**Knowledge and Skills Expectations**
- Two years office management and/or executive assistance and/or Crisis Line experience.
- Outstanding interpersonal, communication, time management and organizational skills.
- Strong self-awareness, humility to seek support and consult.
- Must be able to lift 30lbs
- Excellent use of Microsoft Office Suite
- Dynamic nature who can integrate large amounts of information to funnel clients to appropriate services
- An excellent multi-tasker and ability to prioritize, while taking a proactive approach to problem solving.
- Upon hire, can provide a clear Criminal Check with Vulnerable Sector Search and Child Welfare Intervention Check.
**Reporting Relationship**
This position directly reports to the Director of Clinical Practice.
