Administrative Assistant/receptionist

**Responsibilities**:
- Manage department files for forensic engineering services, which include opening, maintaining, and closing files using file management software, and archiving of all applicable documentation
- Maintain and update internal files and documents
- Perform file audits on an ongoing basis to ensure accuracy
- Preparation and distribution of mail processing, and couriers
- Respond to client queries quickly and efficiently, directing the clients to the appropriate engineers as required
Secondary Responsibilities:
- Accurately review, proofread, and assist with any materials, including documents, reports, memos, briefings, presentations, forms, and other items, ensuring accuracy and completeness
- Dictation using Dragon speech recognition software
- Prepare preliminary and full reports, photo presentations, and any other documentation
- Format materials, including documents, reports, presentations, and other items
- Support case preparation by preparing case summaries and materials for meetings and court hearings
- Preparation of CV packages, brochures, and permit packages
- Maintain evidence inventory in our storage facilities
**Requirements**:
- A minimum of two (2) years’ experience in office administration and communications
- Proficiency in Microsoft Office, Dragon NaturallySpeaking, and Adobe with ability to learn new software quickly
- High level of detail-oriented and interpersonal skills
- Exceptional organization/ document management skills
- Excellent written and verbal communication skills
- Time management and task prioritization skills
- Excellent customer service skills
Pay: $18.00-$20.00 per hour
Expected hours: 37.50 per week
