**Place of Employment**:555 Richards Street and 560 Granville Street, Vancouver

The Student Services Coordinator position will begin as a **part-time position**, with **20 hours of work per week**. On Monday, September 9, 2024, this position will be transitioned to a **full-time, salaried position** with 37.5 hours of work per week. This position’s work hours are as follows:

- From start date until the end of training: 11:00am to 3:00pm
- From end of training to September 6, 2024: Monday to Thursday, 3:30pm to 7:30pm, Friday, 2:00pm to 6:00pm
- From September 9, 2024: Monday to Thursday, 11:00am to 7:30pm, Friday, 9:30am to 6:00pm

**Duties and Responsibilities**

**Administration Assistance**:

- Provides front desk student/customer support
- Ensures excellent customer service
- Sorts through mail and packages received
- Receives and tracks payments
- Responsible for working with internal and external teams to oversee facility maintenance
- Completes a broad range of database related tasks, including the allocation of students into classes.
- Oversees creation, management and updating of all documents for ILSC and Greystone College, including: school contracts, student intake reports
- Supports on student graduation including the preparation of graduation reports, coordination of the graduation event and creation/distribution of diplomas and transcripts
- Assists with student events and participates in public speaking when necessary
- Responsible for connecting with Senior Management to check compliance related to admin, such as contracts, school policies, procedures, enrollment documentation, academic files, etc.
- Follows up with student Study Permits and Work Permits
- Collaborate with registration team regarding pending students
- Supporting the accounting and finance team through scanning invoices, collecting payments and coordinating required documents/procedures related to tax season
- Assisting School Director and other managers with assigned tasks and projects
- Other administration duties/tasks as required

**Student Advising**:

- Providing advising assistance to students on their study plans, and extending to ILSC, GSC or partner programs
- Assisting current students with any questions or issues they have on non-academic areas
- Assisting with enrolling students into a new program or an extension
- Assisting with liaising with agents in assigned agents/partners on student matters

**Essential Qualifications, Skills, and Attributes**
- Bilingual/Native Fluency - English & Spanish
- Strong communication skills
- Ability to multitask with strong attention to detail
- Proven previous experience of working effectively in a fast-paced environment
- Excellent organizational and computer skills
- Proactive with strong problem-solving and critical-thinking skills
- Ability to maintain calm composure in a high-stress and high-volume setting
- Collaborative and adaptable
- A self-starter who works well individually and in groups

**Education and Experience Required**
- Post-secondary education preferred
- Experience in student services/administration, preferably in an international environment
- Experience with student events and public speaking
- Sensitivity to numbers an asset
- Exposure or experience with social media an asset
