**Job Title**: Facilities Maintenance Administrator
**Job Description Summary**: Provide support for Account Manager which will include processing payroll, billing, monitoring AR, working with a CMMS system, develop weekly work schedules for the site technicians and other related duties as requested. Work with C&W employees to assist them with related job issues.
- Prepare monthly invoices for subcontractor / Vendor work EXTRAS - payable by the client.
- Manage all parts purchasing across all campuses including invoice generation and track payment to the vendor. Establish and maintain good relationship with Accounts Payable department as well as Vendor Management to ensure that all vendors who service the account are entered into the system as well as being paid in a timely fashion
- Prepare monthly reconciliation of invoices to the client as well as parts purchases and report to the Account Manager
- Oversee daily maintenance and ongoing tasks on behalf of the Operations Supervisor
- Schedule facility and equipment repair needs on behalf of the Operations Supervisor
- Assist in prioritizing work orders across all campuses
- Responsible for preventative maintenance measures
- Schedule, conduct and track regular safety, quality and efficiency inspections. Compile deficiency reports and report to the Account Manager
- Schedule, conduct and track monthly building inspection as well as yearly inspection for all campuses along with the Account Manager and assist in generating a repair/project punch list to be presented to the client.
- Execute special project work, ensure that any subcontractors hired by the Company meet the company’s safety standards
- Maintain effective ongoing customer relations
- Provide training to new operators on operational activities that do not involve climbing, driving or lifting.
- Schedule and track regulatory reviews
**Additional** **FUNCTIONS / DUTIES**:
- Assists the Operations Supervisor and Account Manager as required
- Other duties as assigned.

**Education**:Possess a high school degree or an approved GED. Associates degree or equivalent work related experience.
**Experience**:
- Minimum of 3-5 years of previous office experience preferably in a Facility Service Environment.
- Prior experience supporting facilities manager with payroll processing, monitor AR, billing, outer task as required.
- Working knowledge of Archibus Facilities Management software.
- Knowledge of AP/AR/Billing and other back room support
- Excellent organizational and administrative skills
- Excellent written and verbal communications skills with excellent telephone manner.
- Must be attentive to detail, accurate and able to prioritize multiple tasks in a high pressure, fast paced environment.
- Prioritizing projects and requests
- Highly motivated and able to work independently with minimum direction.
- Ability to handle multiple tasks simultaneously
- Strong personal time management and organizational abilities
- Financial experience is preferred
**WORKING CONDITIONS and/or PHYSICAL REQUIREMENTS**
While performing the duties of this job, the employee is frequently exposed to an office environment. The noise level in the work environment is usually moderate. The employee is regularly required to sit for short periods of time and must be able to climb flights of stairs. This position requires finger dexterity and eye-hand coordination sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires normal range of hearing and vision to record, prepare and communicate appropriate reports. Specific vision abilities required by this job includes close vision, distance vision, and ability to adjust focus.
