Reporting to the Director, Corporate Services, you are responsible for providing exceptional customer service and professional administrative support to the Corporate Services Team.
Your Director’s Assistant responsibilities:
- Provides administrative support to the Director of Corporate Services, along with administrative support for all Corporate Services teams as required.
- Supports quarterly strategy map reporting for all Corporate Services teams, the divisional strategy map for Employee and Corporate Services and other annual reporting i.e., Employer of Choice report, etc.
- Responsible for managing the staff parking program and database.
- Supports the maintenance of the Corporate Services area on the Hub.
- Supports the Corporate Services Business Process Specialist with sustainability initiatives and any other employee events required.
- Responsible for maintenance of the department practices and procedures manual.
- Purchases and reconciles office supplies and uniforms for the department.
- Assists with contract preparation and archiving as required.
- Coordinates all aspects of regular and ad hoc meetings including follow up on action items.
- Participates in projects and committees as required.
- Coordinates travel, education, periodicals, staff related activities along with payment of expenses.
- Manages the incoming and outgoing mail for the department.
- Suggests improvements and/or forward change requests to procedures.
- May provide backup for the Corporate Services Business Analyst, HR assistant and/or executive assistant to the Vice President of Employee and Corporate Services staff within the division as required.
- Acts as an information resource for internal and external clients.
- Performs other administrative tasks as required.
Your experience and skills:
- Post-secondary education in business or office administration with 5+ years of progressively more responsible administrative experience preferred.
- Intermediate to advanced knowledge with Microsoft Office environment and Lotus Notes. Experience with Cognos and Adobe InDesign is a definite asset.
- Ability to work independently or as a team member.
- Strong proofreading and editing skills and detail oriented.
- Excellent organizational and planning skills.
- Excellent communication, interpersonal and customer service skills are essential.
- Has the ability to adapt to changing priorities and competing deadlines.
- Periodically required to lift heavy storage boxes and supplies (10 to 20lbs).
