**Position Summary**
As a Veterinary Medical Receptionist, you will be the first point of contact for our clients and their pets. Your role is crucial in ensuring a seamless experience for our clients, from scheduling appointments to managing patient records. Your exceptional organizational skills and dedication to customer service will help create a positive atmosphere for both our clients and our team.
More specifically, the scope of your responsibilities will include but are not limited to:
- Front Desk Management: Greet clients and their pets warmly, manage the reception area, and foster a welcoming environment.
- Scheduling Appointments: Book and confirm appointments for routine check-ups, vaccinations, and emergency visits.
- Patient Records Management: Maintain accurate patient records, update information, and send medical records to outside practices as requested while ensuring confidentiality.
- Billing and Payments: Handle billing inquiries and process payments, providing clear explanations of treatment costs to clients.
- Insurance Coordination: Assist clients with pet insurance claims by providing necessary documentation and guidance.
- Support for Veterinary Staff: Relay messages to veterinarians and technicians, prepare medical records, and coordinate patient flow.
- Inventory Management: Monitor stock levels of supplies and assist in ordering necessary items to ensure the clinic is well-stocked.
- Customer Service: Address client concerns and complaints with professionalism and empathy, escalating issues to management as needed.
**Requirements**:
To qualify, you will need at least the following:
- Previous experience in a veterinary or medical reception role is preferred.
- Strong customer service skills with the ability to communicate effectively and compassionately.
- Excellent organizational and multitasking abilities to manage a busy reception area.
- Proficiency in computer systems and willingness to learn practice management software.
- Attention to detail in managing patient records and maintaining confidentiality.
- Genuine empathy and a passion for animal welfare.
- Exceptional written and verbal communication skills.
- Strategic thinker with adaptability and results-driven mindset.
- Strong interpersonal skills for effective volunteer management.
- Deep commitment to our organization's mission and values.
- Proficiency with Google Workspace and Microsoft Office.
- Effective at building relationships with diverse stakeholders, including discretion.
- Self-motivated, solution-focused, and flexible team player.
- Exceptional attention to detail and record-keeping.
- Strong analytical and critical thinking skills.
- Excellent planning and organizational abilities.
- Kind, patient, and flexible in handling change positively.
- Demonstrates unwavering confidentiality.
Although not required, we consider the following to be valuable assets:
- Experience in high-volume, high-quality spay/neuter settings.
- Experience working with marginalized socioeconomic groups, demonstrating cultural competency and empathy.
- Experience with non-profit operations.
- Familiarity with CATF community-based Dog and Cat Care and Management Programs.
- A background in the animal welfare sector.
