**Summary**

Reporting to the Project Manager I, the Construction Administrative Assistant will be responsible for providing administrative support related to contract documentation, project records, and coordination between project teams and stakeholders. This role ensures that all contractual processes are followed efficiently and accurately, helping to maintain compliance and organization throughout the project lifecycle. This position is office-based.

**Key Responsibilities**
- Assist in the preparation, distribution, and tracking of contracts, change orders, purchase orders, and other project-related documents.
- Organize, maintain, and update contract files and documentation to ensure accurate record-keeping.
- Monitor contract milestones and deliverables to alert project teams of upcoming deadlines and actions needed.
- Manage and organize project documentation, including contracts, specifications, drawings, and amendments.
- Ensure that all project documents are properly filed and distributed to relevant parties.
- Handle the electronic storage and retrieval of documents and ensure compliance with company and project-specific standards.
- Serve as a point of contact for internal and external stakeholders regarding contract-related inquiries and documentation requests.
- Coordinate with project managers, site teams, subcontractors, and clients to facilitate communication and information flow.
- Draft and send correspondence related to contract compliance, meeting follow-ups, and document requests.
- Assist with tracking and reporting of project budgets, including recording of expenses and updates on costs associated with contracts.
- Help with the preparation of financial reports, invoices, and payment tracking as it relates to contractual obligations.
- Compile reports for the President and Board of Directors, including preparation of agendas and recording of site meeting minutes in collaboration with the Project Manager I
- Reconcile and verify subcontractor invoices against contract terms before forwarding for approval.
- Ensure that all contract documents meet company standards and project requirements.
- Assist in the review of contract documents for accuracy, completeness, and adherence to company policies and procedures.
- Help track insurance, bonds, and other compliance documentation to ensure all subcontractors meet project requirements.
- Schedule and coordinate project-related meetings, including preparing agendas and distributing minutes.
- Handle general administrative tasks, such as filing, copying, scanning, and data entry as needed.
- Support team members with other duties as assigned to ensure smooth project operations.
- Assist the Project Manager I, Site Superintendent, and Site Supervisor with safety orientation and ongoing compliance initiatives.
- Attend and conduct presentations.

**Qualifications & Experience**
- Grade 12 graduate or equivalent.
- Must have a valid drivers license, minimum of class 5 and reliable vehicle for occasional travel to sites within Manitoba.
- Background in Construction Management, Business Administration or a related field preferred.
- Minimum of 1-3 years of administrative experience, preferably in the construction industry or related field is preferred.
- Flexibility to work additional overtime hours during peak project phases may be required.
- Strong organizational skills with keen attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with construction software an asset (e.g., Microsoft Project, Bluebeam, AutoCAD).
- Familiarity with construction contract terminology and processes a definite asset.
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Problem-solving skills and a proactive attitude.
