As the exclusive Canadian distributor for ChemTreat International, WMC provides technical expertise in water treatment to building owners, property managers, and engineering contractors. By protecting HVAC systems against corrosion, deposition, and microbiological contamination, we aim to increase the efficiency of our clients operations and drive down costs.

We are currently seeking a full-time Order Desk Associate to join our Head Office in Ottawa. Reporting to the Controller, the Order Desk Associate will play an integral role in supporting the firms supply chain optimization, customer service, and inventory management initiatives.

**Responsibilities and Duties**
- Maintain a basic working technical knowledge of the goods or services to be purchased
- Provide quotes to select clients
- Receive and process customer and sales representatives’ orders
- Submit Purchase Orders to vendors
- Coordinating inbound and outbound freight for client orders
- Preparation of packing slips to accompany outgoing orders while maintaining compliance with TDG regulations and advise on process improvements
- Work through any post-sales issues with all engaged parties
- Verify customer and order information for correctness, checking it against previously obtained information as necessary.
- Confer with primary vendors, sales, shipping, warehouse, or common carrier personnel in order to expedite or trace shipments.
- Monitor inventory records and levels to determine the availability of requested products
- Set Min/Max levels for the warehouse
- Liaise with suppliers to set up new products in the system
- Submit quote requests to vendors
- Maintain item costs in the accounting/ service system
- Provide all necessary details to accounting for invoicing
- Set up new clients in service platform and QuickBooks along with their price lists
- Count/Verify all incoming stock orders and enter item receipts in the accounting system
- Assist President/Sales Reps in sourcing and assessing pricing for new products
- Inventory Counting/ Tracking and Reconciliation
- Additional ad-hoc duties as required

**Desired Skills**
- University or College diploma in business, accounting
- Professional written and verbal communication and interpersonal skills. Ability to multi-task, willingness to learn, dependable and consistent with efforts
- Flexible and adaptive approach to working and time management
- Self-driven and highly motivated, conduct themselves with diplomacy and have the ability to maintain confidentiality
- Strong attention to detail
- Intermediate Microsoft Excel

**Job Types**: Full-time, Permanent

**Salary**: $55,000.00 per year
