Career opportunity: We have a permanent full-time opportunity for an Administrative Assistant based 100% in office in Abbotsford, BC. The Administrative Assistant plays a crucial role in supporting all activities required by the Investment Advisor. This role requires an individual who is professional, detail-oriented, independent, organized, and effective at multi-tasking, with strong communication and people skills. Candidates must be versatile and capable of performing a variety of tasks to get the job done in a fast-paced environment where attention to detail is of the upmost importance. You will be responsible for: Enhance advisor’s effectiveness by providing information management support; Greet visitors, clients, and prospective clients in a friendly and professional manner; Handle incoming telephone calls, sort, and distribute the mail; General clerical and administrative duties: data entry, filing and any other assigned administrative duties/projects; Coordinate the assembly and mailing of client paperwork; Order and handle office supplies, coordinate vendors; Coordinate and book travel arrangements; Organize and coordinate all conference calls and webinars; Manage the Advisors’ calendars: Schedule meetings, allocate sufficient preparation time for meetings, recognize and anticipate changes, resolve schedule conflicts; Bank deposits to nearby bank. The ideal candidate for this position has: Minimum of 2-years experience as an Administrative Assistant is essential; Proficiency with MS Office applications: Word, Excel, PowerPoint & Outlook; Excellent verbal and written communication skills; Strong work ethic with a team-first mindset and proven ability to work independently; Strong organizational skills, meticulous attention to detail and results oriented; Superior customer service skills and exceptional interpersonal skills; Demonstrated ability to prioritize, multitask, work within time constraints and follow-up effectively; Proven ability to work in a professional team environment; Takes initiative and identifies opportunities to add value; Experience working with a Securities Brokerage firm an asset.
