Summary of the Role Reporting to the Area Manager, the Office and Payroll Assistant is responsible for providing administrative support including, but not limited to, reception duties, purchasing activities, and timesheet administration, while also supporting the daily and efficient operation of the office. Key Responsibilities Operate various pieces of office equipment used for computing, faxing, photocopying, and printing. Open and distribute incoming faxes, mail, answer correspondence, and prepare outgoing mail. Enter, track, and reconcile field and office timesheets while ensuring a timely delivery to the payroll office for processing. Arrange, participate in, and organize conferences and meetings as requested. Schedule meeting rooms and complete hotel reservations as required (both for in‑house and out‑of‑town meetings). Maintain filing systems, indices, and directories. Prepare memos, emails, and letters as directed in addition to the filing of weekly financial reports, finals, and sales analyses. Operate personal computer and access email and other basic office support software. Use various software applications to assemble, manipulate, and/or format data as well as reports. Perform such other and reasonable duties as required to effectively support the organization. Ensure responsibilities and accountabilities are carried out in a safe manner in accordance with E.S. Fox Ltd. safety policy/procedures, ISO 18001 standards, and OHSA requirements. Key Requirements, Experience and Skills Completion of College level Diploma in Business Administration. Highly knowledgeable in Microsoft Office programs including Word, Excel, and Outlook. 3+ years of administrative experience in an industrial environment. Strong communication skills, both written and verbal, are required. Exceptional interpersonal skills and presence. Tact and persuasion abilities. Able to prioritize, multi‑task, and handle stressful situations. Attributes Reliable and well‑organized. Result oriented. Personable and pleasant.
