Role overview The Project Administrator supports Project Managers with scheduling, documentation, data entry, meeting logistics, and project controls across multidisciplinary teams in a hybrid work setting determined by client needs. The role maintains impeccable records, facilitates communication, and prepares status updates that help leaders make timely decisions. Success requires strong organization, attention to detail, and comfort working within structured processes and enterprise systems. This role is the entry point into our bespoke project management development program, offering a clear career pathway with structured training and support to progress into project coordination and project management roles. Key responsibilities Maintain project artifacts, registers, and electronic document control in line with PMO standards. Prepare meeting agendas, minutes, action logs, RAID items, and weekly status reports for internal and client stakeholders. Support schedule updates, basic cost tracking, purchase requests, and invoice coordination with guidance from the Project Manager. Coordinate workshops, stakeholder meetings, and event logistics, including invitations, rooms/VC links, materials, and follow‑ups. Perform accurate data entry and quality checks across project systems and reports. Facilitate cross‑team communication, ensuring timely information flow and issue escalation. Tools and systems Experience with enterprise tools such as Power BI for reporting and dashboards. Familiarity with Maximo for work/asset management and Oracle for ERP/financial coordination. Exposure to Microsoft Power Apps or similar low‑code tools to streamline forms and workflows. Proficiency with Microsoft 365 (Excel, Word, PowerPoint, Teams; Project/Visio an asset). Qualifications 2–4 years in project administration/coordinator roles within professional or corporate environments; energy or industrial experience is an asset. Strong documentation, organization, and time‑management skills with meticulous attention to detail. Tech‑savvy, quick to learn new systems, and comfortable working with data and structured processes. Clear written and verbal communication; collaborative and service‑oriented with a continuous‑improvement mindset. Nice to have Understanding of project management methodologies and PMO practices. Basic financial acumen for budget tracking, POs, and invoice reconciliation. Experience supporting event management, town halls, or stakeholder workshops.
