In this role, the Program Coordinator will assist in the administration of quality systems, regulatory compliance & improvement initiatives as it relates to document management and control, quality deviations, corrective and preventive actions. Working under the direct supervision of the Senior Manager for Quality Compliance Programs, the Coordinator will focus on initiatives related to regulatory compliance of the Transplant Programs at SickKids. Key Responsibilities Support management and maintenance of the Transplant Programs Document Management System (DMS); Document Control and Archive in accordance with Good Documentation Practice (GDP) guidelines; assist in running document change control and effectively managing the review & approval process for guidelines, policies and procedures and other applicable documents, ensuring version control. Assist in document editing, formatting and proofing to create and revise assigned standard operating procedures. Maintain Annual Document Review Tracker and ensure departmental policy documents are up to date. Notify stakeholders of upcoming document and policy renewals and facilitate approvals. Manage document repository access rights. Support audit/inspection document readiness related activities: maintain key audit/inspection readiness documents to ensure the most up‑to‑date version and correct documents are available in the repository at all times. Prepare materials for program meetings and events. Act as a document runner during internal and external audits to retrieve audit‑related documents, as requested. Manage schedules and calendar events during audits. Support and educate teams on conducting root cause analysis, investigations and writing effective CAPAs. Monitor Health Canada, FACT, regulatory and quality requirements and proactively adapt internal processes to meet changing requirements. Interact with all levels of internal stakeholders and build a good rapport. Prepare meeting minutes and agendas, and support content creation for annual, quarterly and monthly quality reports. Perform other duties as assigned. Essential Requirements Completion of a bachelor’s degree in an appropriate scientific, medical or business discipline or recognized equivalent. Minimum of 3 years of relevant experience in a quality assurance and/or administrative role, preferably in a Health Care/Hospital setting. Demonstrated understanding of and experience with applicable Canadian and international regulations. Demonstrated experience or acquired skills in policy and standard operating procedure maintenance and development. Demonstrated intermediate to advanced project management skills. Exceptional verbal and written communication skills. Excellent SharePoint, MS Outlook, Word, Excel and PowerPoint skills. Ability to utilize information technology systems. Excellent organization and time management skills. Excellent decision‑making, problem recognition and problem‑solving skills. Excellent negotiation and conflict resolution skills. Effective interpersonal and customer service skills. Program planning and evaluation methodology skills. Ability to work in a self‑directed manner, effectively, independently and under stressful conditions. Ability to manage and prioritize multiple demands. Demonstrated commitment to equity, diversity and inclusion (EDI) and experience advancing EDI objectives. Assets Experience in Quality Management Systems and Quality Standards. Experience with Health Canada regulatory frameworks. Professional degree and/or advanced background in Health discipline and/or Quality Certification. Knowledge of FACT accreditation standards.
