Position: Office Manager

Location: Moncton, NB

Primary Objective:

The main responsibilities of the Office Manager are to ensure the smooth function of the offices in Moncton, Saint John, Truro, and Halifax. The Office Manager will be a self-motivated and collaborative individual who enjoys variety in their daily activities. This person requires exceptional judgement and organizational skills, as well as the ability to work both independently and in a team environment. The ideal candidate will demonstrate a high degree of flexibility, handle complexity, and thrive in a fast-paced environment while maintaining accuracy and reliability of work performed. Most importantly, the successful candidate must be pro-active and able to anticipate upcoming needs while also managing multiple priorities. The Office Manager will supervise the Administrative and Accounting team to ensure proper office procedures are maintained and followed.

The Responsibilities of this Position Include:

  • Process payroll for MCW Maricor staff twice per month.
  • Recruit new employees using proactive recruitment strategies, including job postings, and prepare employment agreements on behalf of the hiring Manager.
  • Provide recommendations for changes and improvements to recruitment practices.
  • Perform new hire orientations and work alongside hiring managers to ensure new employees are effectively integrated into the MCW work culture and environment.
  • Recommend and develop onboarding strategies to deliver an exceptional new hire experience.
  • Administer and educate employees on benefits program at MCW.
  • Manage and document all stages of the employee lifecycle from onboarding to off-boarding.
  • Respond to employee requests regarding current MCW policies and procedures and various HR related matters.
  • Support and execute the annual performance management program.
  • Engage in continuous improvement projects to optimize work processes and programs.
  • Ensure effective exit interviews and provide management with analysis and recommendations.
  • Collaborate with the national Human Resources team on projects.
  • Provide operational and project support to department management as required.
  • Be an active member of the Joint Health & Safety Committee. Assist with meetings, inspections and ensure health and safety information is posted and complies with current legislation.
  • Participate in professional development activities to improve knowledge and skills.
  • Manage, track, and assign various employee training programs.
  • Approve vacation requests for Administrative team.
  • Participate in organizing corporate meetings.
  • Ensure equipment and/or supplies are ordered.
  • Manage inventory of in-house safety equipment for MCW Maricor offices.
  • Other duties as required.
  • Intermediate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with HR databases and HRIS systems.
  • Experience with Ceridian Dayforce is an asset.
  • Solid knowledge of Human Resources best practices, policies, procedures and employment-related legislation such as the Employment Standards Act, Human Rights Code, and Occupational Health and Safety Act.

Education/Experience Requirements

  • Minimum of 5 years experience in Office Management.
  • Office management experience in the professional services industry (architectural, engineering, construction) would be an asset.
