Career Opportunity GeoSpectrum is growing and has a new career opportunity for a Document Controller to join our team We are seeking a detail‑oriented and technically proficient Document Controller to improve document control processes for all GTI documentation (drawings, BOMs, documents, proposals, inbound documentation etc.) and implement updated processes for technical teams to follow. This includes the creation and management of registries, release/approval processes, filling and revision/change control. This role ensures accurate control, review, and retrieval of inbound and outbound documents, maintaining compliance with internal standards, industry regulations, and contractual requirements. Our company’s core values are woven into the fabric of our work, commitment to employee engagement, and client service. Responsibilities Review, standardise and enhance document templates. Manage templates and troubleshoot, as needed. Establish, improve and implement organisation‑wide processes and procedures for the receipt, tracking, review, and distribution of inbound and outbound business, product, and technical documents, such as compliance records and customer deliverables. Establish and maintain document control systems (e.g., SharePoint, Confluence) ensuring version control, traceability, secure access and archiving; creating an organised information library to improve the efficiency and productivity of the organisation. Create presentations of process and procedures, present to stakeholders, prepare communications and train employees for sustaining measurements. Ensure all documentation aligns with ISO 9001, contractual, and regulatory requirements. Ensure documents are available where and when needed, protected from loss, improper use, or alteration (permissions/read‑only for released docs). Ensure that the transfer and sharing of information meets the network and cyber security standards. Develop optimised processes for document review and approval across engineering, quality, procurement and programme teams. Create and maintain logs of all document activities (creation, modification, approval) for traceability and compliance audits. Review, proofread and format documents (reports, proposals, presentations, etc.) for compliance standards prior to release and submission to customers. Qualifications Post‑secondary education in Business Administration, Records Management, Library Sciences, Industrial Engineering. Minimum of 5 years of experience in quality assurance, document control, information governance or library sciences. Demonstrated experience working with ISO 9001, compliance documentation and controlled goods. Proven experience in establishing/improving document control systems, processes and tools used in a manufacturing environment. Strong knowledge and practical implementation of configuration management principles. Attention to detail – Demonstrate the ability and desire to work with highly detailed information and tasks; ensuring accuracy and quality information in all systems and documentation. Organisation and Time Management – Effectively prioritise projects, tasks, resources and deadlines; demonstrate effective time management skills by prioritising, delegating and monitoring progress and performance. Excellent analytical skills, particularly with respect to technologies and databases. Highly proficient in Microsoft Word and SharePoint, adept at learning new software systems. Ability to manage multiple priorities in a fast‑paced environment.
