Job Description Summary

The role of the Facility Services Supervisor is to oversee the execution of activities performed by company employees and sub-contractors in accordance with C&W Services policies and procedures at a key client site. The site is an office facility approximately 35,000 sq/ft.

The incumbent will be the Site Lead and an instrumental member of the Regional C&W Services team and participate in the hiring process, training of employees, onboarding and management of subcontractors, manage maintenance and approved project work, customer relations and provide leadership in troubleshooting / problem solving.

Essential Functions and Responsibilities:

  1. Pay: $70,000.
  2. Schedule: Monday-Friday (7:30am-3:30pm).
  3. Oversight of all processes ensuring conformance to federal, provincial, and local regulations, and conformance with company and customer policies.
  4. Include “Safety First” program leadership, customer relations, employee development, staffing, policy implementation / enforcement, budget preparation and cost control.
  5. Includes budget and financial management, quality control, maintenance process development and conformance, and all account administrative functions. Must demonstrate good judgment at all times when making decisions affecting the company’s business.
  6. Ensure the proper operation of the Maintenance Program. Manages the facility's predictive maintenance program with special attention to non-evasive procedures. Respond to or provide direction to resolve all deficiencies during normal working and after hours.
  7. Ensure that maintenance work orders are completed and accurate; carry realistic priorities and proper approvals.
  8. Presides at weekly scheduling client meetings, reconciles the maintenance requirements so that facility maintenance needs are met.
  9. Ensure that all work performed under his/her supervision is done in a timely and cost-effective manner according to the applicable codes.
  10. Effectively communicate in person, and electronically to relay complex information to customers, occupants and manager.
  11. Produces monthly financial and operational reports and additional reports as requested.
  12. Ensures work order and daily time sheet documentation is accurately completed.
  13. Maintain upkeep of computer tracking systems of work order information.
  14. Establish and maintains work performance standards and improvement processes.
  15. Conducts quality assurance checks.
  16. Coordinates and manages special project work related to site maintenance and improvements.
  17. Resolves on-site service delivery issues.
  18. Conducts hiring and orientation of employees, develops employees skills/abilities and performs annual employee evaluations.
  19. Maintains effective ongoing customer relations through email, phones and face-to-face interaction.
  20. Participates in planning/reporting meetings with client and/or all levels of C&W Services staff.
  21. Conducts site evaluations and audits.
  22. Manage, communicate with and oversee work and safety performance of sub-contractors regarding outsourced maintenance related work and projects as assigned.
  23. Works safely at all times and promptly informs management about unsafe conditions existing in the work area.
  24. Must maintain a consistent and good attendance record in accordance with Company policy.
  25. Perform other tasks as assigned by Regional Manager.
  26. Manages Landscaping, Pest Control, Janitorial, Carpentry, Paint, Movers, Mail Room Operations.

Non-Essential Functions / Duties:

  1. Ensure that maintenance work orders are completed and collaboratively works with maintenance planner and scheduler to efficiently and effectively complete maintenance work.
  2. Ensure that all work performed under his/her supervision is done in a timely and cost effective manner according to the applicable codes.
  3. Ensures that environmental procedures and issues are being implemented through the directions of the customer’s environmental specialist representatives.
  4. Meet departmental responsibilities and objectives.
  5. Sustain effective communication with management regarding operating situations.
  6. Contributes to the overall success of the Facilities Management program by performing all other duties and responsibilities as assigned.

Supervisory Responsibilities:

  1. Participate in the onboarding of janitorial and maintenance subcontractors.
  2. Manage, hold team accountable and evaluate staff performance.
  3. Lead a team of approximately 1-3 C&W Services employees.
  4. Enforce C&W Services Human Resource and Safety policies and procedures.
  5. Manages Landscaping, Pest Control, Janitorial, Carpentry, Paint, Movers, and Mail Room Operations.

Requirements (Education, Experience, Knowledge, Skill, and Abilities):

  1. Education: Business Administration, or Construction Management degree from an accredited university preferred or equivalent in training and experience.
  2. Experience: Five (5) years’ experience in a leadership role in a fast paced, manufacturing facility work environment preferred, including minimum 2 years in a supervisory capacity or equivalent education and work experience.
  3. Two (2) years small construction projects experience preferred, covering project initiation, construction, and closeout. Successful track record managing scope, schedule, and budget.
  4. Experienced in Fiscal responsibility and a high degree of administrative acumen.
  5. Experienced in Computerized Maintenance Management Systems (CMMS), Total Productive Maintenance (TPM) and Reliability Centered Maintenance (RCM) preferred.

Knowledge/Skills/Abilities:

  1. Knowledge in Computerized Maintenance Management Systems (CMMS).
  2. Proficient with Microsoft Office Suite of software including Word, Excel, and PowerPoint.
  3. Action oriented with an inherent sense of urgency.
  4. Strong customer satisfaction work ethic; Demonstrates attention to detail.
  5. Understands business implications and decisions.

  12. Ability to work with mathematical concepts such as probability and statistical inference.
  13. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  14. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  15. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
