You maintain comprehensive project documentation, manage risks, and facilitate design reviews to prevent scope creep. Additionally, you oversee scheduling, change management, customer interactions, and on-site acceptance testing to ensure successful project completion. Project Coordinators play a crucial role in supporting these efforts and contributing to overall project success. This position reports to Team Leader – Project Management.Key ResponsibilitiesAs a Project Coordinator, you will support the following areas of the business:Project ManagementDevelop and maintain project management systems and reportingSupport Project Managers with general administrative functionsAssist with setting up new projects within the Convergix Project Management SystemAssist with the execution of Factory/ Site Acceptance TestingOrganize temporary labour for execution of equipment testingDevelop/ maintain schedules and track deliverablesTrack tasks to ensure deadlines are metSchedule project meetings and prepares minutesTracks project Checklist adherenceOrganize incoming customer partsArrange shipping documents for inbound/ outbound equipmentSupports project purchasing, receiving, shipping tasksTrack critical path incoming materialsAssist with customer status reportingParticipate with project execution at Convergix and Customer facilitiesProject Performance ReportingPrepare project status reportingAnalyze performance metrics and assist with developing status reportsAssist with project Estimate at Completion forecastingAssist with Project Management adherence reportingGeneral Document ControlStore, manage, and track all project documentation adhering to Convergix’s or the clients document lifecycle proceduresCollect, scan, and upload documents following set proceduresAssign and/or request document numbers for all project documentationMaintain project files, issue documents both internally and externallyQualifications and ExperienceDemonstrated experience as a Project Coordinator, Project Administrator, Engineering Assistant or Administrative AssistantExperience working within an Engineering or Manufacturing environment is preferred.Above average MS Office skills including Excel, Outlook, PowerPoint, Visio, and WordExperience with Microsoft Projects considered an assetPrior exposure to Document Control an assetExperience with ERP systems an assetHigh level of attention to detailExcellent verbal and written communication skillsOutstanding organizational and time management skillsAbility to thrive in a fast-paced environmentExperience handling large, multiple projects and data simultaneouslyMust be able to exercise independent decision-making, convey an accommodating attitude toward the other team members and foster a team environmentAn ability to travel; although this position is focused on local clients and minimal travel is required, you should have the ability to travel within US and CanadaReliable transportation and an ability to travel; Project Coordinators at Convergix should have the ability to travel within the US and CanadaPhysical DemandsWhile performing the duties of this position, the employee is regularly required to stand, walk, sit, use hands to feel objects, reach with hands and arms, stoop, kneel, talk and hear.Occasionally lift or move up to 25 pounds.Perks of Being Part of the TeamHere at CONVERGIX, we offer a generous compensation and benefits package including:RRSP with company matchOT after 40 hrs for hourly employeesLong term disabilityEmployee Assistance ProgramVirtual online Tele-healthBenefits Plan that includes Medical, Dental, and Vision coverageProfit SharingWhat does CONVERGIX value?Integrity - Respect, Transparency, CommitmentExcellence - Continuous Improvement, Innovation, Collaboration, CommunicationPassion - Momentum, Sense of Urgency, Growth, Success, VelocityWe thank all candidates for their interest, however only those considered for an interview will be contacted.CONVERGIX Automation Solutions has an accommodation program in place that provides reasonable accommodations for employees with disabilities.
