Reporting to the Senior Vice-President Academic (SVPA), the Senior Executive Assistant is responsible for providing leadership, guidance and direction while overseeing the efficient operation and coordination of the SVPA’s office (SVPAO) by providing senior administrative support to the SVPA. p>

The role of Senior Executive Assistant is integral to the productivity and effectiveness of the SVPA and the division. They work closely in partnership with the SVPA, Executive Team and divisional Direct Reports to achieve strategic objectives and is responsible for managing projects and daily operations of the office.

The Senior Executive Assistant is responsible for planning and carrying out administrative activities including preparing correspondence, memos, minutes, and reports frequently of a confidential, strategic and/or specialized nature and must be able to prioritize and multitask a variety of activities. The incumbent is responsible to manage the calendar of the SVPA, including coordinating/scheduling meetings with both internal and external stakeholders.

The Senior Executive Assistant provides a range of senior-level support and oversees the daily workflow to and from the executive office. Using strong business acumen, risk mitigation, and problem-solving skills, the incumbent prioritizes, coordinates and communicates information on behalf of the SVPA and provides insights related to potential internal and external issues and opportunities.

The position ensures prompt, high-quality individual support to students, faculty, and staff. The incumbent has complete familiarity with the academic and administrative policies and departments of the Ministry and the College and is able to communicate effectively with students and staff at all levels, as well as with a wide range of clients and staff at other Colleges, community groups, local boards, and Ministry officials.

The Senior Executive Assistant provides administrative support to a number of committees, to the College’s Executive Team and to the Board of Governors.

They will also undertake (or lead) special projects and assignments upon the request of the SVPA, as it pertains to the deliverables of this position and the area.

Required Qualifications:

  • A minimum of a three (3) year diploma/degree in Business Administration or a related field;
  • Knowledge of College directives, programs, academic and organizational structures;
  • Extensive working knowledge of MS Word paired with strong writing skills to prepare correspondence and other documentation as well as Excel software skills to produce reports;
  • Strong computer skills: knowledge and experience with MS Office Suite applications, with an emphasis on email/calendar software applications, as well as Excel software skills to produce reports;
  • Strong writing skills to prepare correspondence and other documentation;
  • Exceptional organizational, planning and analytical skills to analyze complex client situations and deal with confidential matters, while demonstrating a balance of compassion and good judgment;
  • Exceptional scheduling and time management skills and with an ability to prioritize and manage several concurrent obligations/projects;
  • Must possess above-average conflict resolution skills in order to deal with day-to-day problems and/or complaints on behalf of the Senior Vice President, Academic;
  • Ability to handle pressure to meet deadlines and general knowledge of budget monitoring;
  • Knowledge of College directives, programs, academic and organizational structures;

This position is eligible for hybrid work in conjunction with the College's Flexible Work Arrangement (subject to change).
