Position Title: Senior IT Asset Specialist Reports To: Senior Technology Manager, IT FinOps
Department :
Information Technology Term: Permanent Full-Time

Work Arrangements: This is a hybrid role. You will work in our office in Waterloo, ON a minimum of two (2) assigned, consecutive days every other week, plus a fifth (5th) assigned day per month. You are welcome to work from the office more than the minimum requirement and there may be some roles that are required to work in our office more than the minimum requirement.

Track, maintain, and analyze copies of software licenses, warranties, maintenance agreements, and vendor contracts. Ensure there is a comprehensive understanding and awareness of specific asset compliance factors and details to provide the organization with an acceptable level of compliance and risk management. Manage, track and understand industry trends and relevant changes in the IT Asset Management space, and analyze and communicate the impact to company management and subject matter experts. Ensure all software and hardware serial numbers or identification information is updated and maintained within configuration management database system (CMDB), and ensure information is up-to-date, accurate, and auditable. Perform inventories and usage monitoring of all IT assets and record all findings, changes, physical location, and incidences of support. Explore opportunities for maximizing or exploiting unused or partially used IT assets to achieve full efficiency and ROI from company resources. Conduct and report IT asset reconciliation and audit activities on a timely basis, including financial, licensing, warranty, and maintenance/support contract information. Compare warranties, maintenance agreements, and vendor contracts to assist with asset upkeep, upgrades, repair, and replacement. Establish and implement enterprise technology procurement policies, processes, and operations to ensure the organization obtains fair and full value in the acquisition of technology services, systems, and capabilities. Expert knowledge and capabilities in software tools related to hardware and software asset management and vendor management toolsets (ServiceNow preferred), and general financial management and reporting systems (e.g. Excel, PowerBI). This should include development skills to create efficient and accurate reporting, automation, and analysis. Strong knowledge of regulatory and governance requirements and needs (e.g. OSFI B-13) as it pertains to the effective management of IT Assets. Strong contract management and negotiation skills.
