Our Litigation Department is seeking a highly organized and proactive Legal Assistant to support senior legal professionals in managing complex matters, including Class Actions and Corporate/Commercial Disputes.ResponsibilitiesProactively manage partners’ inboxes and calendars, monitor emails, schedule appointments, and prepare documents for meetings.Serve as the point of contact for clients and internal stakeholders, providing assistance and information as required.Administer client accounts: enter time charges, submit time, follow up on delinquent charges, edit pre‑bills, prepare invoices, verify fees and disbursements, and respond to client inquiries.Coordinate with Finance & Accounting and Billing teams on post‑invoice matters such as write‑offs and outstanding accounts receivable.Provide administrative assistance and coordinate logistics for client meetings, including travel and hospitality arrangements.Support client development by managing partners’ biographies and updating client relationship databases.Set up new files, enter conflict information, coordinate research, and manage document management system entries, including drafting retainer letters.Enter deadlines into the firm’s litigation tickler system, monitor upcoming deadlines, and prompt partners with advance notice.Facilitate document workflow: drafting, formatting, finalizing, and distributing documents, correspondence, and materials, including complex Word and Adobe Acrobat DC documentation.File emails and documents in the appropriate matter space and folders.Maintain a record of matters and client contact information for ongoing communications.Research and prepare for audit inquiries, and assist with conflict checks.Perform additional duties as required to achieve firm objectives.QualificationsCommunity College diploma in Office, Legal, or Business Administration plus a minimum of five years’ experience in a professional services or legal environment, or an equivalent combination of education, training, and experience.Extensive experience supporting partners, maintaining discretion and confidentiality.Excellent attention to detail, strong written and oral communication skills.Strong technical skills in MS Office Suite.Demonstrated organizational and time‑management skills to effectively multi‑task.Highly responsive with the ability to manage changing priorities.Commitment to teamwork and the ability to take initiative and work independently.Full responsibility for assigned tasks.Knowledge of legal procedures and court processes.Drafting and proofreading skills.Benefits & Working ConditionsWe operate in a hybrid arrangement, requiring primarily in‑office work with flexibility to work remotely up to two days per week.Osler is committed to fostering a diverse and inclusive work environment, and we welcome and encourage applications from people with disabilities and people with diverse backgrounds, identities, and cultures.
