Executive Assistant, Global Transaction Banking

Purpose:

Contributes to the overall success of the Global Transaction Banking organization by ensuring specific individual goals, plans, initiatives are executed/delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.

What You’ll Do:

  1. Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
  2. Provide high level administrative support for one or more executives, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organization's operations, procedures, and people.
  3. Gather, compile, verify, and analyze information for the executive's use in documents such as memos, letters, reports, speeches, presentations, and news releases. Perform tasks using independent judgment and discretion; e.g., preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.
  4. Monitor, review, and approve standard expenditures to ensure the activities of the office are conducted within established budgets. Manage the variance analysis and ensure it aligns on a monthly basis. Act as the primary liaison and coordinator for department initiatives.
  5. Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  6. Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.
  7. Champions a high performance environment and implements a people strategy that attracts, retains, develops and motivates their team by fostering an inclusive work environment; communicating vision/values/business strategy and managing succession and development planning for the team.

What You'll Bring:

  1. Sound knowledge of business/bank terminology and departmental procedures.
  2. High level of discretion required when dealing with confidential matters.
  3. A minimum of 5 to 7 years of experience in a business administration support function, preferably within financial services industry.
  4. Extensive experience managing expenses.
  5. Strong technical skills and knowledge of MS Office 2010.
  6. Excellent coordination, organizational, time-management and work prioritization skills.
  7. Attention to detail, resourceful, and accountability in follow-up.
  8. Proactive approach to problem-solving and the ability to work independently to make decisions.
  9. Communicates clearly, articulately and succinctly in both oral and written form, with the ability to communicate to all levels within the organization.
  10. Flexibility, high tolerance for change and an ability to learn quickly.
  11. Ability to handle sensitive materials under the pressure of last minute deadlines.
  12. Being able to communicate in Spanish is an asset.

Work Arrangement:

Work in a standard office-based environment.
