The Administrative Assistant of Student Academic Success is responsible to support, collaborate with, and aid the Student Academic Success team: the Student Academic Success Manager, Learning Services Coordinators, and Accessibility Student Support Coordinator. The Administrative Assistant provides strong student service support to a diverse student body .

Hours per week: 24 hours
Months per year: 10.5 months (August 1 to June 15)

Duties and Responsibilities

  • Be the first point of contact for faculty, staff, students, and external partners.
  • Draft correspondence and communicate with faculty, staff, students, and external parties.
  • Handle incoming and outgoing email inquiries in a timely manner.
  • Respond to student and external inquiries regarding career services.
  • Provide administrative support to the Student Academic Success team.
  • Assist with developing and implementing new initiatives with other members of the Student Academic Success team.
  • Provide administrative support for Accessibility exam accommodations. This includes scheduling, student confirmations, and proctor scheduling.
  • Proctor exams as needed.
  • Support the Learning Services Coordinators with peer tutor hiring, scheduling, training, and troubleshooting logistics.
  • Prepare and send out part-time student employment agreements.
  • Create and follow up with applications (new tutors), student feedback, student surveys, and other forms.
  • Obtain and process invoices and expense forms. Submit them to the Finance department on behalf of the Student Academic Success department.
  • Help implement and provide logistical support for study group sessions and workshops.
  • Promote Student Academic Success services through various internal communications methods.
  • Assist the Manager in retention operations using the Student Information System.
  • Update and maintain the Student Information System forms, templates, and reports.
  • Take quarterly inventory and complete approved purchasing for the Student Academic Success department (e.g., academic supplies, merchandise, etc.).
  • Update and maintain Student Academic Success materials. (i.e., online files, webpages, print materials, equipment, and supplies).
  • O versee the Ambrose Job Board website.

Qualifications

Education and Experience

  • Undergraduate degree is required.
  • 1-2 years of relevant experience working with post-secondary students.
  • Experience using a database is an asset.
  • Knowledge of assistive technology is an asset.

Skills

  • Basic knowledge of Microsoft 365.
  • Good spoken and written English skills.
  • Able to learn new software.
  • Strong attention to details.
  • Excellent organizational skills.
  • Excellent interpersonal and communication skills.
  • Able to organize work and set work priorities in a high-volume environment under time constraints.
  • Able to work in a service-oriented environment as both a member of a team and independently.
