About this role

What will you do?

The Payroll and Benefits Specialist is responsible for preparing and processing payroll for Canada, maintaining time and attendance records, preparing, and reviewing payroll reports, and ensuring accurate and timely setup and tax filings (federal and provincial). The Payroll and Benefits Specialist is responsible for a variety of additional items such as employment verifications, issuing ROE’s, tracking, and coordinating onboarding/offboarding activities. In addition, this role is responsible for the administration of the company’s group benefit and Company pension plans.

Critical results

  • Liaises with the Human Resources team and Accounting to ensure information is accurate for all employees
  • Receives and documents necessary approvals prior to processing any non-standard or off cycle payments
  • Processes accurate and timely year-end reporting (T22, T10, T4, etc.)
  • Processes manual checks when necessary (as exceptions)
  • Oversees the preparation of and processing of required reports and payments to government agencies, insurance companies, or other organizations
  • Oversees time & attendance system setup and time reporting, performing audits as needed
  • Conducts regularly scheduled audits of payroll records to ensure continued accuracy
  • Stays abreast of current events relative to payroll administration on Federal and Provincial levels and advises team members of relative events and changes to legislation
  • Researches and follows up on notices received by various governmental agencies
  • Registers the company and establishes required payroll liability accounts with provinces, as needed
  • Assists in onboarding employees as it relates to payroll and ADP’s Self-Service Module

Responsibilities

  • Compiles, computes, tracks, and maintains payroll systems to ensure timely and accurate processing of Canadian payroll transactions including salaries, hours worked, bonuses/sales incentives, benefits, garnishments, payroll related taxes, expense reimbursements, and any additional applicable benefits
  • Calculates the quarterly, bi-annual and/or annual incentive payments for all Canadian commercial employees (excluding HN and CARE) with the support of the HR Manager and Director of Accounting.
  • Supports the HR Manager in the administration of the non-commercial bonus program
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, promotions, transfers, and changes to pay rates
  • Prepares and maintains accurate records and reports of payroll transactions, determining and correcting out-of-balance conditions
  • Keeps track of and maintains accurate records for pay periods, hourly wages, salaries, overtime, PTO, etc., for payroll processing
  • Effectively handles employees’ concerns regarding payroll errors and resolves any applicable discrepancies
  • Ensures compliance with federal, provincial, and local payroll, wage, tax, and hour laws and best practices
  • Facilitates audits by providing requested records and documentation
  • Maintain records related to the accumulation and use of PTO, holidays, and leaves of absence

Benefits Administration

  • Sets up new hires with applicable group plan providers for Health, Dental, Insurance benefits (Sun Life) and the Company’s pension plan (Canada Life) for Barentz Canada, and RRSP plan for Barentz Ingredients.
  • Handles the completion of any forms related to the Group Benefits and Pension
  • Responsible for maintaining all contributions to the Pension Plan, including monthly remittances
  • Maintains accurate records for Canada Life and Sun Life
  • Fields employee inquiries about the Company Pension Plan or components of the Group Benefit Plan
  • Participates in the annual review of the Group Benefits plan
  • Manages the billings and calculations for all applicable group benefits and pension plans in Canada

Accounts Payable

  • Reviews and processes all expenses through the company’s expense system for Barentz Canada ULC and Barentz Ingredients (utilizing Certify and Concur) and verifies any expenses related to credit cards
  • Monitors and reconciles 407 ETR invoices and charges
  • Assists as needed with Accounts Payable

About You

Education / Experience

  • A bachelor’s degree in human resources, administration, or business, is preferred.
  • Payroll Compliance Practitioner (CPC) or a Certified Payroll Manager (CPM) designation would be considered an asset.
  • 3-5 years of experience calculating and processing in-house payroll mid-size companies

Skills

  • Some exposure to Accounts Payable would be beneficial
  • Previous experience with ADP Workforce Now required
  • Prior experience with HR/Payroll, time and attendance, and general ledger systems
  • Experience with payroll tax preparation experience
  • Knowledge of Federal and applicable Provincial HR/Payroll laws (ESA, CRA, etc.)
  • Ability to meet strict deadlines
  • Self-motivated, independent, flexible, creative, and responsible
  • Strong calculation, organizational, and problem-solving skills
  • Must be very detail oriented and meticulous in how work is performed
  • Proficient use of Microsoft Office products including Word, Excel, Teams, Outlook
  • Strong interpersonal skills and ability to communicate effectively throughout the organization
