Job Summary

This role supports our community of hundreds of individual and corporate clients, and our growing team of accountants and bookkeepers.

As a member of our firm, you will help us to provide an effortless customer experience and to manage the day-to-day administrative tasks that allow our firm to operate smoothly.

Your day will consist of managing multiple projects, including handling client communications by phone, email and in-person.

Our administrative team is involved client projects, including sending letters and instructions, following up with clients for missing information, and assembling and providing finalized projects to our clients.

This is a fast-paced job so you need to be well-organized and able to prioritize tasks quickly. If you're overwhelmed at the thought of spinning multiple plates, this position isn't for you.

A love of people and problem-solving will serve you well in this job.

Previous experience working at an accounting firm is a competitive advantage when applying for this position.

Essential Duties and Responsibilities

Client Service

  1. Receive and respond to client communications by phone, by email, and in-person at the front desk.
  2. Communicate with our clients with an unrelenting commitment to client satisfaction.
  3. Ensure a positive, bright and welcoming experience for EVERYONE who contacts our firm.
  4. Meet with clients at the front desk to receive signatures on forms, and payments for completed work.

Internal Service

  1. Be a vital support to our team of accountants and bookkeepers, assisting with administrative tasks, client follow-ups, organizing and scanning documents, and efficiently handling any additional tasks as requested to facilitate smooth and effective operations.
  2. Assist with maintaining our customer database, including accurately inputting new client information and regularly updating existing client records to ensure data integrity and reliability.
  3. Collaborate in setting up client projects in our database, ensuring that each project is carefully monitored and completed in accordance with important due dates.

Client Project Delivery

  1. During personal income tax season you will be responsible for assembling finalized personal income tax returns digitally or physically, and collecting e-signatures or physical signatures on authorization forms.
  2. Throughout the year you will be responsible for assembling packages for completed client year end projects, and obtaining the required authorizations to file returns.

Experience or Equivalent Experience

  1. Have completed a College diploma program in business administration
  2. Previous administrative assistant experience an asset
  3. Previous accounting firm experience is highly valued here
  4. A proven track record of successfully managing multiple priorities or projects in a fast-paced environment

Position Details
