The Opportunity

A blended position with tremendous growth potential, the Marketing and Administration Specialist will manage the day-to-day administrative operations of our Client's office in Mississauga, ON as well as the development and execution of a wholistic marketing strategy for this growing organization. A newly created role, this position will start off as a combination of Administration and Marketing duties, but ultimately evolve into a full-time Marketing position over time. Reporting directly to the President, the successful candidate will be a creative, detail-oriented, self-starter with demonstrated skills in social media optimization and a passion for influencing all areas of Marketing.

PLEASE NOTE: This is a full-time, Monday - Friday role that requires the successful candidate to work ON SITE at our Client's Mississauga-based office. We thank all applicants for their interest, but only those with demonstrated work experience in both Administration and Marketing who are willing to work FT, in-office will be considered.
Required Experience and Qualifications
  • Complete fluency in the English language; both written and verbal
  • Post-secondary education in Marketing and/or Communications is strongly preferred
  • Demonstrated success optimizing B2B social media channels
  • Comprehensive understanding of current trends and evolving strategy related to Marketing and Communications
  • Technical Proficiency in
  • Adobe Creative Suite
  • Social Media Scheduling Tools (Hootsuite, Loomly, Mailchimp, Buffer, Sprout, ContentCal, etc.)
  • Microsoft Office Suite
  • CRM systems
  • Effective time management, organizational and communication skills
  • Self motivated with a proven ability to work independently under minimal supervision
Responsibilities of the Position

ADMINISTRATION
  • Responsible for answering incoming phone calls and forwarding to the appropriate personnel or department
  • Collect, sort, distribute and prepare correspondence, mail and messages
  • Prepare customer proposals for the appropriate representative
  • Finalize client contracts
  • Manage company database and Customer Management System (CMS)
  • Coordinate advertising and promotional goods
  • Schedule and coordinate travel and accommodation for conferences and trade shows
  • Administer the corporate calendar via MS Outlook
  • Capture minutes during sales meetings
  • Manage the office space
  • Other administrative duties, as required
MARKETING & COMMUNICATIONS
  • Develop and implement a comprehensive strategy to grow followers across all Social Media channels (Facebook, Instagram, Twitter/X, etc.)
  • Create diverse, engaging and unique content for distribution on website and various social media channels
  • Implement Social Media Calendar program and manage all subsequent scheduling/posting for all applicable channels
  • Develop and oversee the implementation of Paid Media Campaigns via:
  • Google
  • Facebook
  • Instagram
  • Twitter (X)
  • Others
  • Work to optimize Brand Reach through effective SEO tactics
  • Update and redesign, as needed, print collateral for conferences, trade shows, etc.
  • Create and implement Email Automation Templates, where applicable, to increase Operational efficiency
  • Audit and standardize employee Email Signatures
  • Provide Training and Skill Development for team members on Marketing initiatives, as needed
OFFICE OPERATIONS
  • Provide day-to-day administrative support for Outside Sales team, as needed
  • Review and asses Standard Operating Procedures for the business
  • Streamline Operating Procedures in an effort to increase overall efficiencies
  • Report on strategic improvements to the President
