The challenge
Reporting to the Senior Manager of Language Services, the Team Lead Administrator is responsible for the administrative team's effective management, organization and development. The team's main objective is to support newcomers looking to access English language learning opportunities in Edmonton. Efficiently direct and coordinate the administrative functions of Language Services programs, while performing client-facing administrative tasks. Ensure that administrative staff are effectively deployed to support Language Services programs, promoting student success and enhancing the program's reputation, focusing on developing a strong, cohesive, and collaborative team that provides excellent service to internal and external stakeholders.
The opportunity
LINC Administrator Responsibilities(0.5 FTE)
- Work closely with teammates and coordinators to ensure accurate collection, tracking and distribution of information for LINC Coordinators, the Childminding Team Leads and teachers.
- Build trusting relationships by connecting with and understanding the needs and priorities of the students, colleagues, our programs and services, deliver on commitments and provide accurate, relevant and timely information.
- Foster a warm and welcoming office by providing terrific face-to-face and phone reception to newcomers from different backgrounds and various stakeholders and visitors.
- Improve communications with all stakeholders through creatively engaging others, building empathy, and listening to understand.
- Define and execute intake, scheduling, and registration processes, updating student records and facilitating student email administration, program waitlists and childcare space.
- Create certificates for LINC graduates and generate, update and design new forms or other materials as requested.
- Own knowledge-gathering activities to ensure up-to-date agency information by resourcefully compiling programs, services and people information.
- Learn internal records and data management systems (i.e., iCARE, Excel, iSTEDY, etc.).
- Drive knowledge sharing and build the capacity of the team.
LINC Admin Team Lead Responsibilities(0.5 FTE)
- Work with and supervise a diverse team of administrative staff; provide effective leadership regarding work tasks and workflow to manage operation responsibilities.
- Provide leadership within the Language Services Administrative Team.
- Provide ongoing support and guidance to administrative staff.
- Identify procedural issues, make recommendations for improving efficiency, and document and oversee procedural changes.
- Oversee schedules to ensure adequate support is available for the service delivery.
- Identify cost-saving and efficiency measures.
- Lead the hiring and recruitment of administrative staff.
- Supervise, review and assess the performance of administrative staff.
- Represent the LINC Administrative Team in bi-weekly meetings with coordinators and managers. Host weekly or bi-monthly check-in meetings with the LINC Administrative Team.
What it takes
Two years of post-secondary education in a relevant field is required (e.g. Administrative Professional, Management). Alternative combinations of experience and education may be considered. Three years experience supervising others in a fast-paced, high-volume, client-facing administrative role.
