SUMMARY
Under the supervision of the Local President, provides personal administrative support to the President, Executive Members and Members of the Local Union. Duties include general clerical, accounts payable and receivables, receptionist and project-based work. The position is unionized (COPE Local 96).
RESPONSIBILITIES
- Transcribes, composes and types letters and reports for the Local.
- Creates, transcribes, and distributes meeting agendas and minutes.
- Performs cash balancing, processing and reconciliations.
- Audits transactions for credit card expenses.
- Responds to member enquiries on the phone and in person.
- Sets up travel arrangements and accommodations for the Local.
- Sets up and coordinates meetings and conferences.
- Performs records management activities and manual and computerized filing.
- Maintains inventory of stationary stock, printing requirements and office supplies.
- Liaises with City Departments and outside bodies as required.
- Meets and greets members and visitors and performs reception duties.
- Receives and distributes incoming mail.
- Performs general clerical duties to include but not limited to: scanning, photocopying, faxing, mailing and filing.
- Performs project-based work (i.e., initiation of new members, sending out large mailouts for campaigns, proposals, etc.)
- Researches and collects data through various techniques and procedures.
- Other duties as assigned.
KNOWLEDGE AND SKILL REQUIREMENTS
- Secondary School Graduation with postsecondary courses in accounting or an equivalent combination of education and experience together with at least 2 years of office experience.
- Must have knowledge of a unionized environment.
- Ability to multitask, prioritize and coordinate work to meet tight deadlines.
- Knowledge of Microsoft Office and telephone protocol. Duties require professional verbal and written communication skills. Requires attention to detail, excellent organizational skills, and discretion with confidential information.
- Occasional overtime is required.
- Must undergo a successful Police Records Check – Type 1.
