Your new role


The Administrative Assistant plays a pivotal role in providing comprehensive administrative and office support to both the department as a whole and specifically to Chief Officers.


Key responsibilities include conducting research, compiling data, and preparing information for executive review; drafting, editing, and proofreading correspondence, presentations, and reports; coordinating department functions and companywide events, from researching vendors to serving as an event coordinator; maintaining schedules for shared services like Reception and Shipping/Receiving; supporting IT procurement and invoicing processes; managing filing systems and tracking mechanisms for accurate information maintenance; processing documents and applications; overseeing office equipment and supplies, including kitchenette and coffee supplies; recording minutes of department meetings; arranging schedules and reservations; and ensuring compliance with safety policies and procedures. The role may also involve additional duties as assigned.

Key Competencies for this role include excellent verbal and written communication skills and a customer service orientation. Additionally, candidates should demonstrate strong organizing and planning abilities, attention to detail, initiative, self-starting qualities, reliability, and stress tolerance.


Education and Experience requirements include a minimum of 2 years' experience in a similar role, with experience in a multiple line switchboard environment being an asset. A high school diploma is required, while completion of college or other business administration courses is advantageous.


Candidates should possess knowledge of general administrative and clerical procedures, strong customer service principles and practices, and proficiency in computers and current software applications such as the Microsoft Office Suite and Internet.

Strong keyboard and computer skills are also essential for success in this position.
