The Werklund School of Education invites applications for a Indigenous Education Projects Oversight Coordinator. This Full-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.

Child health and wellness is an institution-wide priority at the University of Calgary. Research that is undertaken by the One Child Every Child (OCEC) team strives to inform current and future policymakers and partners to guide future decisions that affect youth, their families and communities. One of the priorities of OCEC is to listen to and support the success of all First Nations, Métis, and Inuit students through Indigenous community-driven initiatives. The Indigenous Education Projects Oversight Coordinator is responsible for overseeing and guiding the operational, administrative, and financial activities of Indigenous projects specifically related to Education. This role requires administrative duties which include general accounting, the preparation of transcripts and summary reports, facilitating general incoming and outgoing inquiries, assisting with internal and external communications and publications, coordinating external events and other initiatives, and making travel arrangements. The Indigenous Education Projects Oversight Coordinator is the first point of contact and is responsible to liaise with OCEC’s internal and external stakeholders. The Indigenous Education Projects Oversight Coordinator plays a key role in supporting OCEC’s Community Engagement Manager and OCEC-led projects and events and provides event, meeting, and operational support to the Walking Alongside You(th) Program, Language Revitalization Priority Program, and Community-Based Research Hub. The Oversight Coordinator ensures that the needs of leadership and strategic goals are met and maintained and supports the Institute Director and senior researchers. In addition, the Indigenous Project Oversight Coordinator engages in special projects related to operations and initiatives as directed by the Team. This is a fixed-term, regular full-time position for 1 years with possibility of renewal and is part of the AUPE Collective Bargaining Unit. Regular work hours are Monday to Friday, 8:30 A.M. to 4:30 P.M, 7 hours per day (35 hours per week). Flexibility is required as constantly shifting priorities might create a need for evening and weekend work. The Candidate is required to work both remotely and in person, as required.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Responsible for effectively coordinating, organizing, and staging activities, events, and budgets for the Walking Alongside You(th) Program, Language Revitalization Priorities, Community-Based Research Hub, and National Research Agenda for Youth in Care Planning.
  • Arranges flights, accommodations, transportation and consent forms for research trips.
  • Liaising with internal and external team members to move work forward.
  • Supports priorities of the team on a broad spectrum of projects and tasks including overseeing project coordination across multiple sites and partnerships.Provides efficient, effective and comprehensive administrative support to the team.
  • Indigenous community point person for research trip coordination, including catering and event logistics.
  • Light accounting duties and budget management regarding travel and community-based spending.
  • Creates and distributes agendas and records minutes at meetings related to research partnerships
  • Coordinates and organize travel arrangements for faculty and visiting lecturers’ transportation, itineraries, agency/hotel accommodations and completing all necessary forms and requisitions for funding and/or honorarium.
  • Facilitating general incoming and outgoing inquiries relating to overall research program.
  • Assisting with internal and external communications and publications.
  • Making travel arrangements.
  • Accounting, financial management, and reporting generates, advises and addresses reports and balances various budgets related to research travel and community-based hires.
  • Ensures that financial reporting expectations and deadlines are met.
  • Prepare financial documents, budgets and statistical reports.
  • Reconciles and processes expense recoveries to appropriate funding sources.
  • Initiates, reviews and submits expense claims.
  • Initiates the set-up of new activity codes and accounts.
  • Monitors and controls expenditures against approved budgets to ensure adherence to budget policies and compliance.
  • Manage research operating budgets for various grants and provide monthly reconciled financial statements ensuring agency compliance.
  • Manage operational planning and organizational efficiency.
  • Responsible for the implementation and improvement of business processes, policies and procedures related to research operations.
  • Responsible for overseeing and maintaining the overall administrative operations.
  • Participates in strategic planning and provides support to strategic initiatives by incorporating new ideas and suggestions, evaluating possibilities, and/or support piloting of new approaches, processes and procedures.
  • Participates in committees, regular and ad hoc, at the request of the Academic Department Head.
  • This position may take on other duties and projects specific OCEC as required.
  • Provide project management, leadership and guidance to ensure successful support for the team’s initiatives.
  • Coordinating external events and other initiatives.
  • Design and implement community-based initiatives and events.
  • Manage initiatives that support the strategic themes of the department, assist in achievement of consensus for important changes, and coordinate resources.

Qualifications / Requirements:

  • Undergraduate degree in education, business management, or a combination of education and equivalent experience is required; Master’s degree or other professional degree is preferred.
  • Ten years of progressively responsible operations and administrative management experience.
  • A minimum of 5 years of large-scale project management with ongoing reporting.
  • A minimum of 3 years of experience working within a team, preferably in a unionized environment.
  • Demonstrated budget management skills with multiple large complex budgets.
  • Demonstrated expertise in setting agendas, recording decisions and meeting minutes.
  • Evidence of highly developed organizational and decision-making skills.
  • Strong communication skills, including the ability to write clearly and concisely, excellent editing skills.
  • Demonstrated ability to work collaboratively in a team environment with strong communication and conflict management skills.
  • Be resourceful, innovative, creative, and strategic in problem-solving with high attention to detail.
  • Experience in making travel arrangements.
  • Inter-cultural competency working with and for First Nation, Métis and Inuit peoples, communities, and organizations. Must demonstrate professionalism, discretion, courtesy, and respect in all interactions with internal and external clients creating a positive image for the Institute.
  • Ability to work independently, be self-directed and anticipate needs; plan, organize, coordinate, and perform work with minimal direction and supervision.
  • Proficient in Microsoft applications (Word, Excel, Access, PowerPoint and Outlook Mail and Calendar) and the university core business systems (e.g., PeopleSoft).
  • Knowledge of Indigenous research ethics, protocols, and methodologies. This includes key application of TCPS2 and Chapter 9: Research with First Nations, Métis, and Inuit Peoples.
  • Understanding of the policies and protocols of the University of Calgary, and of OCEC's mission, values, and plans.
  • Willingness to take University of Calgary training specific to the ii’ taa’poh’to’p strategy and journey towards reconciliation.
