Administrative Assistant

Our client is a dedicated wildlife rehabilitation and conservation charity based in Seaforth, Nova Scotia who rescues and rehabilitates injured and orphaned wildlife while promoting environmental stewardship through education and community engagement.
They are seeking a full-time Administrative Assistant to provide essential support to the founder and the operations of the registered charity. This role offers a hybrid work model, combining remote and on-site responsibilities.
Key Responsibilities:
- Email Management:Organize and respond to emails on behalf of Hope the founder ensuring prompt and professional communication
- Grant Writing:Assist in researching, preparing, and submitting grant proposals to secure funding for wildlife rehabilitation and conservation projects
- Financial Administration:Manage petty cash, accounts payable, and reconcile expenses using Sage accounting software or similar platforms
- Maintenance Coordination:Track and oversee general maintenance tasks, trades, permits, and grants related to facility upkeep and improvements
- HR Support:Handle minor HR issues, including maintaining employee records and assisting with onboarding processes
- Technical Support:Troubleshoot minor issues with computers, printers, and other office equipment; coordinate with IT support as needed
- Documentation and Reporting:Maintain organized filing systems for documentation and prepare reports as required.
- Communication:Draft and proofread correspondence, reports, and other written materials with clarity and accuracy
- Administrative Support:Provide general administrative assistance, including scheduling meetings, managing calendars, and preparing meeting materials
Qualifications:
- Proven experience as an administrative assistant or in a similar role, preferably in a nonprofit or environmental organization
- Proficiency in Sage accounting software or similar financial management tools
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Excellent written and verbal communication skills; ability to interact professionally with stakeholders
- Familiarity with basic technical troubleshooting and IT support
- Ability to work independently, take initiative, and solve problems proactively
- High school diploma or equivalent; additional certifications or courses in Office Administration are advantageous
