PRIMARY OBJECTIVES

The Village Kids (VK) Administrative Coordinator, oversees all administrative tasks and procedures for the operation of Village Kids on Sundays, and midweek events and programs. The Administrative Coordinator is responsible for managing all data, processes and systems that support the operation of Village Kids, as well as contributing to the ongoing care and development of the Village Kids team. The Village Kids Administrative Coordinator collaborates closely with the Site Leader to execute the mission, vision, and strategy of Village Kids.

  • Thoroughness: Ensures that one’s own work is complete and accurate.  Follows up to ensure that agreements and commitments have been fulfilled.  Able to plan ahead and be on top of timelines. Delivers an experience to the Village Kids volunteers, kids and families that is consistent with the Village standard of excellence.

RESPONSIBILITIES

  • Manages the data on Village Connect (New Volunteer process queue, volunteer retention, training, record keeping, teams, groups and families).
  • Ensures teams, groups and families information are current on Village Connect.
  • Coordinates Family Connections follow-up and general team communication (attendance, birthdays, broad email communication, monthly newsletters etc.) at direction of Site Leader.
  • Administrates the Village Family Facebook Group, ensuring timely and relevant information is posted. 
  • Collaborates with appropriate Site Staff to ensure relevant information is captured in the site newsletter, Facebook page, Sunday announcements etc.
  • Coordinates administrative tasks related to all events, mid week programs, and Sunday mornings at the direction of Site Leader (including venue rentals, form creation and management, calendaring, parent communication, data collection and preparation).
  • Collaborates with the Village Kids staff team to support, equip and develop volunteers.
  • Coordinates the check-in experience on Sunday mornings, ensuring all appropriate data is collected, ratios are followed, the team and families are supported. 
  • Participates in the execution of Sunday mornings.
  • Participates in Biannual Training in collaboration with VK Team.
  • Participates in execution of Village Kids Summer Camp.
  • Ensures all responsibilities are completed in a purposeful, strategic and focused manner that points people to Jesus.
  • Acts as a servant by inviting, discipling, training and equipping others to serve.
  • Ensures all responsibilities are produced, promoted and led with a high level of innovation and excellence, honouring God at the highest level.
  • Acts with a sense of ambitious urgency, ensuring all work is completed wisely and impactfully. Time is a gift from God.
  • Maintains an openness to being a learner by committing to continuous spiritual, professional, and self development.
  • Contributes to the best team culture by participating joyfully and working well with peers.
  • Commits to thanking at least one volunteer on a weekly basis.

  • Volunteers serve joyfully and authentically out of the Good News that we are redeemed and have a purpose in Jesus. Everything we do points back to this.
  • Attendance Data can be translated in a way that allows us to effectively reach families with the Gospel and keep them engaged with Jesus as a family.

Community

  • There is unity in the Village Kids volunteer community and strong relationships and partnerships with key leaders.
  • There are strong communication pathways within the Village Kids Team and with families who attend the church. Clear opportunities are given for volunteers and families to connect to the life of the church and surrounding community.

Culture

  • Teams are representing the truths of Christianity to the world in insightful, creative, and gracious ways - going into the surrounding culture to bring Jesus to everyone.
  • Innovation and creativity are used to connect and communicate with families and the surrounding community.
  • Kids and families with all faith stories are able to be seen and known and loved. 

QUALIFICATIONS

  • Philosophically aligned with Village Church Mission, Focus and strategy.
  • Fulfills character qualifications as highlighted in 1 Timothy and Titus. 
  • Fulfill the duties required of Village Church members as outlined in the ‘This is Village Church’ course.
  • Pursues a deeper relationship with Christ and greater spiritual growth through prayer, the gospel, and community. Is a disciple.
  • Highly organized; systems and process oriented.
  • Must possess strong productivity skills, be comfortable with technology and able to adapt to new resources.
  • Strong communication skills in order to transfer the vision and values of VK.
  • Servant-hearted with a willingness to come alongside a team in order to execute with excellence. Customer service oriented.

WORK WEEK

  • 18 hours per week
  • Sundays (5-6 hours), and flexible mid-week office hours
  • Occasional evenings
  • Contracted term: August 4, 2024 to August 3, 2025
