The Administrative Assistant will provide high level independent administrative support to Directors within the Hamilton Regional Laboratory Medicine (HRLMP) Portfolio, enabling the Directors to efficiently and effectively lead programs. This role works in close collaboration with a dynamic leadership and administrative team, and serves as a central liaison to the Directors to keep them well informed of upcoming commitments and responsibilities. The Administrative Assistant has the ability to exercise good judgment in a variety of situations and maintains confidences while balancing multiple priorities, including managing calendars, coordination of meetings, minute taking, preparation of various materials and documents, human resources and recruitment duties, and liaison with internal and external stakeholders. This role requires excellent communication and administrative skills to effectively collaborate with directors, managers, professional chiefs, staff, health care providers, other administrative assistants and the general public, ensuring strict confidentiality is maintained at all times.

Qualifications

1. Graduate of Community College Business Secretarial program or equivalent
2. Minimum 5 years current administrative support experience at a senior support level
2. Proficient keyboarding skills (60 wpm)
3. Demonstrated proficient computer skills in word processing, spreadsheets and database systems, for example, Word, Excel, Access, Vizio
4. Excellent transcription and minute taking skills and ability to draft memos, letters and agendas for the Director's review
5. Demonstrated scheduling experience including skills to re-prioritize a complex Director's schedule in a fast-paced intensive-workload administrative environment
6. Demonstrated excellence in effective communication and interpersonal skills within a professional environment
7. Ability to work on own initiative, organize and establish priorities
8. Demonstrated ability to develop systems that create efficient work flow
9. Demonstrated commitment to continuous quality improvement
10. Demonstrated ability to meet project and task deadlines, excellent organizational and problem solving skills
11. Demonstrated ability to appreciate the confidential nature of position
12. Demonstrated professional demeanor for an advanced level position
13. Demonstrated ability to work effectively in a team environment
14. Demonstrated interest in new learning. Experience working in a Laboratory environment is an asset.
