The Office Manager oversees Human Resource and Office Management functions within all departments, reporting to the Executive Director. This role requires strong organizational and communication skills.

**Job Description:**

  • Administer health and welfare plans, including enrolments, changes, and terminations.
  • Process required documents through payroll and insurance providers for accurate record keeping and proper deductions.
  • Answer employee questions regarding healthcare and wellness plans.
  • Perform customer service functions by answering employee requests and questions.
  • Recommend new policies and procedures to improve company efficiency.
  • Check prospective employee references.
  • Reconcile benefits statements.
  • Conduct audits of payroll, benefits, or other HR programs and recommend corrective action.
  • Assist with processing of terminations.
  • Assist with recruitment and interview process.
  • Track candidate status and respond with follow-up letters.
  • Schedule meetings and interviews as requested.
  • Perform clerical functions, including photocopying and filing.
  • Assist with correspondence and performance review process.
  • Prepare new employee files.
  • Perform other duties as assigned.

**Requirements:**

  • Bachelor's degree in Human Resources, finance, business management, or business administration.
  • 3-5 years of experience in finance, payroll, and not-for-profit society.
  • Strong knowledge of current employment law matters and diversity management.
  • Politically and culturally sensitive.
  • Strong presentation, written, and verbal skills.
  • Ability to identify employee developmental needs and provide coaching and mentoring.
  • Strong morals and ethics, with a commitment to staff privacy.
  • Knowledge of job classification, job analysis, and job descriptions.
  • Effective communication skills with individuals at all levels.
  • Able to work efficiently as part of a team and independently.
  • Computer literacy, including MS Word, Excel, PowerPoint, and email.
  • Attention to detail in all areas of work.
  • Able to work well under pressure and meet deadlines.
  • Ability to use general office equipment.
  • Professional appearance and manners.

**Working Conditions:**

  • Travel may be required.
  • Ability to attend and conduct presentations.
  • Manual dexterity required for desktop computer and peripherals.
  • Overtime as required.
  • Lifting or moving up to 10lbs may be required.
