Administrative Assistant II required to provide calendar management, coordination, and scheduling support to the Director of the Bio-specimen Services Program at the University Health Network.
Job DescriptionThe University Health Network is a leading research and teaching hospital that brings together over 16,000 employees, 1,200 physicians, and 8,000 students to provide exceptional patient care, research, and education.
Responsibilities- Maintain accurate and up-to-date calendars and schedules for the Director and team members
- Coordinate meetings, webinars, and teleconferences, including generating agendas and recording minutes
- Collect and compile project information, assist with data entry, and track payroll
- Perform routine budgetary support functions, including expense reimbursement and credit card reconciliation
- Bi-weekly payroll preparation and staff vacation/sick time tracking
- Technology and device tracking/assisting with UHN DIGITAL requests
- Provision/tracking of documents as part of onboarding new employees
- Ensure the efficient operation of the Department
- Completion of Grade XII (12) or recognized equivalent
- Completion of a recognized medical or business post-secondary secretarial arts program at the diploma level (asset)
- Two to three (2-3) years related administrative support experience
- Previous on-the-job computer/word-processing, database and spreadsheet software experience
- Experience in a Microsoft Office environment
- Experience working in a health care environment (asset)
- Strong organizational, time management and prioritization skills
