Our office in Kingston, Ontario, is looking for an organized, proactive, and effective Service Administrator to support the Technical Services team for an approximate duration of 12 months.


Summary of the Role:

Reporting to the Service Manager, the Service Administrator is responsible for overseeing aspects of daily activities of the service office while maintaining accuracy and meeting company targets.


Key Responsibilities:

  • Dispatch service calls to technicians and follow up with customers.
  • Issue purchase orders to technicians and enter orders into the internal system.
  • Maintain knowledge of pricing policies and procedures for technical services.
  • Place orders for parts and equipment as required and follow up with suppliers on order statuses.
  • Compose quotes for repairs and assist with tender closings.
  • Process billings using internal software and review invoices/credits with department manager.
  • Audit and process all field payroll.

Key Requirements, Experience and Skills:

  • Strong communication skills (both verbal and written) are required.
  • Previous administration and dispatch experience preferred.
  • Completion of post-secondary education in business administration.
  • Strong understanding and aptitude for computer systems and software.
  • Strong track record of delivering excellent customer service and maintaining customer confidence.
  • Strong interpersonal skills.
  • Construction background would be beneficial.
  • Understanding mechanical systems and appropriate codes and industry standards is considered an asset.
